This role involves providing exceptional patient service, managing administrative tasks, and supporting clinical operations within a physical therapy practice. The ideal candidate will possess strong organizational skills, proficiency with electronic health records (EMR) systems, and a solid understanding of medical terminology and billing procedures. Clinical experience is highly valued to ensure comprehensive patient support and efficient office management. Duties Your core responsibilities as Medical Receptionist will include:
  • Warmly greeting, checking in/out patients, serving as the first point of contact, maintaining a clean and organized workplace, and handling pressure situations.
  • Scheduling/confirming appointments (phone, email, in-person), ability to multitask, and managing reminders.
  • Acting as a liaison between physician offices and the HMPT clinic.
  • Calling no-shows and cancellations for rescheduling.
  • Insurance eligibility verifications, obtaining pre-authorization, collecting co-pays/balances, and posting payments.
  • Maintaining accurate records in our EMR, scanning/uploading documents, and ensuring HIPAA compliance.
  • Coordinating with therapists on daily schedules and patient flow, and maintaining the whole clinic's operations.
  • Assisting with referrals/authorizations and general administrative tasks as needed, as well as helping the physical therapist on the floor.
  • Assist in Marketing.
  • Treatment tables /gym equipment should be cleaned after each patient treatment/use, and covered with fresh linen on treatment tables.
  • Maintain cleanliness standards by processing clinic linens through the washer and dryer, adhering to proper hygiene and handling procedures.
  • Cleaning and maintaining the hydrocollator machine/electrotherapy machines as set standards.
Clinical Support Duties as a Physical Therapy Aide Prepare treatment areas before each session (tables, modalities, exercise equipment). To assist licensed physical therapists and physical therapist assistants in the delivery of patient care by preparing treatment areas, supporting patient mobility, managing clinic operations, and ensuring a clean, safe, and efficient rehabilitation environment. Escort patients to/from therapy areas, ensure comfort and safety. Assist patients with non-skilled activities (e.g., applying heat/cold packs, setting up equipment under PT supervision). Monitor patients during exercises for safety (without providing skilled cueing). Clean and sanitize equipment and treatment surfaces between patients. Restock linens, electrodes, and clinic supplies on a daily basis. Set up traction, ultrasound, or e-stim units under PT's instruction (if permitted by state law). Assist with post-session tasks such as applying ice, assisting with gait belts, or positioning aids. Communicate supply needs to management (e.g., electrodes, bands, towels). Assist with clinic maintenance, including tidiness, organization, and safety checks. Communication & Team Support Collaborate closely with PTs, PTAs, and administrative staff to maintain smooth operations. Report patient safety concerns or equipment malfunctions immediately. Maintain confidentiality (HIPAA compliance). Exhibit professional, empathetic interaction with all patients and staff. Compliance & Safety Responsibilities Follow clinic infection control and OSHA standards. Attend mandatory safety, HIPAA, and OSHA training sessions. Ensure patient and staff safety during equipment setup or transfers. Adhere to ethical and professional conduct in all patient interactions.
