Job Description

About Us:
Welcome to Great Lakes Ear, Nose and Throat Specialists, a premier three-location ENT medical practice dedicated to providing top-tier specialty care. We are looking for a warm, highly organized, and communicative Front Desk/Receptionist to be the first point of contact for our patients. If you have an excellent phone presence and a passion for making patients feel comfortable and cared for, we want you on our team!
The Role:
As our Front Desk Coordinator, you will set the tone for the patient experience. You will be the friendly face at the desk and the welcoming voice on the phone. You will work closely with our Medical Assistants (MAs) and providers to ensure a smooth, efficient, and kind experience for every patient who walks through our doors.
Key Responsibilities Morning Preparation:
Kick off the day by preparing the front desk, logging into check-in tablets, and pulling up and reviewing the daily schedule to ensure a smooth flow.
Phone Operations:
Serve as the primary voice of the practice by answering the main phone line, answering questions, and directing calls with professionalism and a positive attitude.
Patient Check-In & Check-Out:
Seamlessly and warmly check patients in upon arrival and check them out after their appointments. Ensure all New Patient (NP) paperwork is completed accurately prior to their visit.
Waiting Room Management:
Keep a close eye on the waiting room, actively monitoring wait times. Proactively check on patients to ensure they are comfortable.
Team Communication:
Utilize a collaborative system to check in with Medical Assistants (MAs) regarding provider pacing. Relay any delays to patients promptly, always leading with empathy and kindness.
Scheduling & Follow-Ups:
Manage the provider schedule efficiently, with a strong focus on booking in-person follow-up appointments before the patient leaves the clinic.
Patient Outreach:
Make daily appointment reminder calls to ensure schedule optimization and patient readiness. Qualifications Exceptional phone etiquette with a clear, friendly, and professional communication style. Strong customer service skills and the ability to treat all patients with kindness and empathy, especially when communicating wait times. Comfortable using technology (tablets, scheduling software, multi-line phone systems). Ability to multitask and stay organized in a fast-paced medical environment. Previous experience in a medical office or front desk setting is preferred.
What we offer:
Pay from $20 per hour, based on experience, with a focus on ENT/Audiology Medical, Dental, and Vision insurance, with an HRA account Paid time off
Pay:
$20.00 - $23.00 per hour Expected hours: 40.0 per week
