This vital role combines exceptional administrative skills with a passion for patient care, ensuring every patient experience is smooth, friendly, and efficient. As the first point of contact, you'll manage appointment scheduling, patient check-ins, and insurance verifications while supporting the clinical team with accurate documentation and office management. Your energy and professionalism will help foster a positive environment where patients feel valued and cared for from the moment they walk through our doors. Duties Greet patients warmly, verify their information, and assist with check-in procedures using Dentrix practice management software. Schedule appointments efficiently, coordinate with clinical staff to optimize daily patient flow, and manage the phone with excellent phone etiquette. Verify insurance coverage, process claims, and handle billing inquiries to ensure accurate dental billing and collections. Maintain organized dental records and ensure compliance with HIPAA regulations by reviewing documentation for accuracy and confidentiality. Assist in administrative tasks including filing, data entry with 10-key typing skills, and managing electronic health records (EHR) system. Support office operations by managing dental coding (CPT, ICD-9/10), insurance verification, and documentation review to streamline clinic workflows. Perform dental assistant/sterile tech duties as needed. Provide exceptional customer service by addressing patient questions promptly, ensuring a positive experience throughout their visit. Qualifications Proven experience in a dental office with familiarity in dental terminology and billing processes. Strong computer skills including proficiency in Microsoft Office Suite and Dentrix practice management software. Knowledge of HIPAA regulations, dental coding (CPT, ICD-9/10), insurance verification procedures, and health information management. Excellent communication skills with professional phone etiquette. Previous clinic experience preferred & demonstrated ability to handle multi-tasking. Previous dental assistant experience or willingness to cross train. Detail-oriented with strong organizational skills; ability to review documentation thoroughly and maintain accurate dental records. Office experience that includes front desk responsibilities such as scheduling, filing, and managing the phone is highly desirable.
