This is a blended position combining front-desk responsibilities with hands-on patient care. The ideal candidate enjoys working directly with patients, is highly organized, pays close attention to detail, and takes ownership of tasks from start to completion. Because we are a small practice, every team member plays an important role in keeping the office running smoothly. The successful candidate must be comfortable moving between answering phones, scheduling patients, completing administrative tasks, rooming patients, assisting with procedures, and helping maintain an organized clinical environment. This is an active, patient-facing position requiring reliable attendance, sustained attention, sound judgment, professionalism, and the ability to manage multiple responsibilities without losing track of details.
Responsibilities:
Front Office & Patient Service Greet patients and create a welcoming, professional environment. Answer telephone calls and patient messages with warmth, professionalism, and appropriate discretion. Schedule and confirm appointments and maintain accurate demographic and patient information. Check patients in and out and collect patient payments. Manage routine paperwork, medical-record requests, forms, and administrative tasks. Communicate with other medical offices regarding records, referrals, and continuity of care. Track open tasks and follow through to completion without repeated reminders. Protect the confidentiality of patient medical, personal, and financial information. Clinical & Patient Care Support Room patients efficiently and prepare them for their visit. Obtain and accurately document vital signs, current medications, and a brief medical history. Assist the physician with clinical procedures as appropriate to training and experience. Perform or assist with phlebotomy and injections when appropriately trained and authorized. (No prior experience necessary) Prepare and clean patient rooms and clinical equipment between patients. Monitor and restock clinical and patient-care supplies. Help maintain a clean, organized, and professional office environment. Medical Records & Office Coordination Accurately enter and maintain information in the electronic health record. Assist with incoming and outgoing medical records and documentation. Coordinate routine referrals and follow-up communications. Identify incomplete tasks or missing information and take appropriate steps to resolve them. Communicate effectively with the physician and other staff to maintain smooth patient flow throughout the day. Qualifications Required Excellent interpersonal and patient-service skills. Strong organizational skills and attention to detail. Ability to communicate professionally with patients, physicians, staff, and outside medical offices. Comfortable using computers and learning electronic medical record systems. Ability to prioritize responsibilities, transition between administrative and clinical tasks, and complete assigned work reliably. Dependable attendance and punctuality. Preferred but not required Prior medical office work or Medical Assistant experience or certification. Phlebotomy experience or certification. Experience administering or assisting with injections. Previous experience with EHR/EMR systems; DrChrono experience is a plus. Familiarity with medical billing, coding, insurance, or referral processes.
