We are looking for an experienced, energetic, organized, and patient-focused Dental Front Office & Treatment Coordinator to support the day-to-day operations of our office. This position plays an important role in creating a welcoming patient experience while ensuring that scheduling, insurance, treatment coordination, financial discussions, and patient follow-up are handled accurately and efficiently. The ideal candidate is confident in communicating with patients, comfortable discussing treatment and financial responsibilities, highly organized, and able to work independently in Open Dental . You should understand how scheduling, insurance, treatment presentation, patient communication, and follow-up work together to keep the practice running successfully. ResponsibilitiesFront Office & Patient Experience Greet patients warmly and professionally and provide a welcoming, high-end patient experience. Manage daily front desk operations in a professional, organized, and efficient manner. Answer and manage a multi-line phone system with excellent phone etiquette. Communicate with patients by phone, email, and text in a professional and timely manner. Handle patient check-in and check-out procedures. Complete patient intake, forms, documentation, and other administrative requirements accurately. Maintain patient confidentiality and follow HIPAA policies and office procedures. Scheduling & Patient Follow-Up Schedule and manage patient appointments efficiently using Open Dental . Manage confirmations, cancellations, broken appointments, fallouts, and appointment follow-up. Maintain an organized and productive schedule. Follow up with patients who have unscheduled treatment. Contact patients regarding outstanding treatment and assist with bringing patients back into the practice. Coordinate appointments based on treatment needs and doctor recommendations. Treatment Coordination Review treatment plans and confidently present recommended treatment to patients. Explain treatment, scheduling needs, estimates, and anticipated patient financial responsibility. Discuss treatment options and answer patient questions professionally. Coordinate with doctors, dental assistants, hygienists, and the clinical team to ensure treatment plans are communicated accurately. Help patients understand the next steps in their treatment. Assist with treatment acceptance and follow-up while maintaining a patient-focused approach. Coordinate financial arrangements and deposits when appropriate. Insurance & Financial Responsibilities Verify dental insurance eligibility, benefits, limitations, and coverage accurately. Review insurance information and patient accounts for accuracy. Prepare and review patient estimates and insurance details. Explain estimated copays and patient financial responsibilities clearly and professionally. Collect patient payments and assist with financial discussions when needed. Assist with insurance-related procedures and documentation. Communicate with insurance companies when necessary regarding patient benefits and coverage. Open Dental & Records Be proficient in Open Dental and able to navigate the system independently. Maintain accurate and up-to-date patient records. Review patient accounts, treatment plans, insurance information, and scheduling information for accuracy. Enter and update patient information accurately and consistently. Use practice systems and shared documents to maintain organized workflows. Teamwork & Daily Operations Communicate effectively with doctors, hygienists, dental assistants, treatment coordinators, and management. Coordinate with the clinical team to support a seamless patient experience. Assist with daily administrative and front-office responsibilities. Help identify workflow issues and communicate them to management. Maintain a positive, professional, and team-oriented attitude. Contribute to a productive and supportive office environment. Qualifications Minimum 3 years of dental front office or treatment coordination experience preferred. Strong candidates with excellent communication, organization, and follow-through may also be considered. Must be proficient in Open Dental and able to navigate the system independently. Strong knowledge of dental terminology and common dental procedures. Strong understanding of dental insurance, eligibility, benefits, and patient financial responsibility. Experience with insurance verification, billing, treatment plans, and patient estimates. Ability to confidently present and explain dental treatment plans. Comfortable discussing treatment costs, estimates, copays, and financial arrangements with patients. Excellent customer service and professional phone etiquette. Strong written and verbal communication skills. Excellent organization and attention to detail. Ability to multitask and prioritize responsibilities in a fast-paced dental environment. Self-starter who can work independently while also functioning effectively as part of a team. Professional, positive, energetic, and dependable. Knowledge of HIPAA and patient privacy requirements.
