Job Description

We are seeking a professional and detail-oriented Dental Receptionist to join our dental practice. The ideal candidate will serve as the first point of contact for patients, managing appointment scheduling, patient check-in and check-out, and ensuring smooth office operations. This role requires excellent communication skills, proficiency with dental and medical office software, and a strong understanding of dental procedures, and basic math and accounting skills. The Dental Receptionist will play a vital role in delivering exceptional patient service while maintaining compliance with healthcare regulations such as HIPAA.
Duties :
Greet patients warmly and professionally upon arrival ensuring a positive patient experience Schedule, reschedule, and confirm patient appointments using Open Dental EMR Verify insurance coverage and perform insurance verification using systems (Dental Xchange, directly contacting insurance companies and Montana Medicaid) Give patients estimates for fees, explain steps and options to patients Collect payments and process dental / medical billing and coding, including CDT and ICD coding (ICD-9/ICD-10) Manage patient records accurately within our Electronic Health Record (EHR) (OPEN DENTAL ) while ensuring HIPAA compliance Handle multi-line phone systems with excellent phone etiquette, addressing patient inquiries and appointment requests Review documentation for accuracy and completeness, including comprehensive or multi step treatment plans and intake forms Maintain organized filing of dental and medical records and administrative documents Assist with front desk duties such as data entry, typing (including 10-key typing), and office management tasks, purchasing supplies for the practice, helping the dentist with various administrative and scheduling tasks.
Qualifications:
Prior experience in a dental or medical office setting is highly preferred; dental clinic experience is highly advantageous. Proficiency with dental software Open Dental is desirable . Knowledge of dental terminology, dental coding (CDT), ICD coding (ICD-9/ICD-10), and medical billing procedures. Strong computer skills including Microsoft Office Suite (Word, Excel) email, fax, voicemail (ADIT software), typing efficiently. Excellent organizational skills with attention to detail in documentation review and data entry Ability to handle sensitive information in accordance with HIPAA regulations Exceptional customer service skills combined with professional phone etiquette and clerical support Experience High school diploma or equivalent required; additional certification in medical office administration is preferred Join our team to provide outstanding administrative support in a professional dental environment. THIS OFFICE SEES PATIENTS TUESDAY, AND THURSDAY, FROM 8 AM -5
PM, and currently every other Friday (these hours may change). The receptionist will be expecting to also come in on Monday, Wednesday, and every Friday for less hours to confirm appointments, confirm insurance, respond to voicemails and emails, handle payments, etc. There is one receptionist already but this office would be more efficient with two. You will be expected to work together to help us run the office smoothly, both clinically and from an accounting standpoint.
