Job Description

Presidential Oaks, a highly recognized and bronze award winning nursing care center is now searching for the right candidate to be our Unit Secretary. The preferred candidate should have previous experience working in a health care center with duties as a unit secretary including medical records. This is a hands on position, working directly with our nursing team to assist with the daily routine of the nursing unit. This position is full time. Hours are Monday - Friday 8a-4p. Presidential Oaks is located right outside of downtown Concord, NH, we offer a very competitive salary and benefit package including; 401k, health, dental, vision, and other benefits. Summary As a Unit Secretary, you will be essential in providing administrative support within a medical setting, ensuring efficient operations and excellent patient service. Reporting to the department manager, your core responsibilities will include managing medical records, handling front desk duties, and facilitating communication between patients and healthcare staff. Your proficiency in medical terminology and EHR systems, along with your clerical experience, will enhance the patient experience and streamline office processes. Qualifications Medical administrative support experience Strong computer skills, including Microsoft Office Knowledge of medical terminology and HIPAA regulations Excellent patient service and customer service skills Clerical and front desk experience in a medical office setting Familiarity with medical records management and filing systems Strong organizational and multitasking abilities to manage multiple priorities efficiently Responsibilities Scans all files in medical records into the computer daily and files documents in paper chart maintaining proper order; assists in helping third floor scan and put away all records Answers phone calls as they come into the nursing station with professionalism and kindness Welcomes and aids guests, visitors, medical personnel, residents and employees Ensures physician compliance is complete For new admissions, ensures charts are ready when resident arrives or before Makes photocopies as requested Creates labels for charts and ensures they are available Ensures records are destroyed after 7 years Performs chart audits Assists in scheduling appointments and transportation Audits charts Has doctor sign medication reviews Ensures there are copies of rosters available at all times Thins charts as necessary Keeps nursing station neat and organized, office supplies in stock, MD phone lists up to date Cleans the outside of charts as needed and at discharge Ability to cover for opposite floor as needs arise Attends monthly staff meetings Is thoroughly familiar with and strictly follows procedures for emergency codes (code red, code blue, etc) Assists nurse manager as needed Performs clerical support as requested All other duties as fit by
