Job Description

Job Summary We are seeking a dedicated and professional Front Desk Receptionist for our organization. The ideal candidate will possess exceptional customer service skills, a strong ability to manage multiple tasks, and proficiency in various office software. This role requires a friendly demeanor and the ability to handle administrative duties efficiently while maintaining a welcoming environment for clients and visitors. Responsibilities including but not limited to: Greet patients and visitors in a professional, friendly manner. Answer multi-line phone system and respond to inquiries. Schedule, confirm, and manage patient appointments using multiple software systems including WebPT, Prompt, and Tebra. Utilize Microsoft Office and Google Workspace for various administrative tasks including reports, presentations, and managing correspondence. Check patients in and out, collect co-pays and other out-of-pocket payments. Verify insurance coverage and benefit information for physical therapy, occupational therapy, acupuncture, and nutritional counseling. Obtain authorizations for patients for physical therapy, occupational therapy, acupuncture and nutritional counseling. Manage PIP claims including submission of treatments and comprehensive files for PIP arbitrations. Manage incoming/outgoing correspondence and faxes from doctor offices, insurance companies, medical records companies, etc. Communicate with insurance adjusters, attorneys, and third-party billing to secure claims and payouts. Oversee inventory of office supplies and medical supplies as necessary. Perform clerical duties including data entry, filing, and maintaining organized records. Support clinicians and staff with administrative tasks as needed. Maintain cleanliness and organization of the front desk area.
Qualifications:
High school diploma or equivalent required. Prior experience in a medical office or receptionist service role required. Strong organizational and multitasking skills. Ability to maintain confidentiality while handling sensitive information. Excellent verbal and written communication. Basic computer skills and experience with scheduling software. Friendly, professional, and dependable demeanor.
