Job Description

Overview We are seeking a dedicated and professional Front Desk Orthodontic Office Coordinator to serve as the first point of contact for our orthodontic practice. The ideal candidate will possess exceptional customer service skills, strong administrative capabilities, and a comprehensive understanding of medical and dental office operations. This role is vital in ensuring smooth daily operations, managing patient interactions, and supporting clinical staff with administrative tasks. The successful candidate will demonstrate proficiency in electronic health record (EHR) systems, medical billing, and insurance processes, all while maintaining a welcoming and organized environment for patients and staff alike. Duties Greet patients warmly upon arrival, ensuring a positive first impression and efficient check-in process. Manage patient scheduling using EMR (Electronic Medical Records) systems such as Epic, Meditech, or eClinicalWorks, coordinating appointments to optimize clinic flow. Verify insurance coverage, process claims, and facilitate collections with knowledge of health insurance policies including Medicare and HIPAA compliance. Handle phone communications professionally, addressing patient inquiries regarding appointments, billing, or treatment plans with clarity and empathy. Maintain accurate medical records and documentation review to ensure compliance with clinical confidentiality policies and documentation standards. Assist in medical billing procedures, including CPT coding, ICD-9/10 coding, and processing payments through systems like Athenahealth or other EHR platforms. Support administrative functions such as data entry, typing reports, managing office supplies, and ensuring the overall organization of the front desk area. Collaborate with clinical staff to facilitate care plans and ensure seamless patient experience from check-in to check-out. Qualifications Prior experience working in a dental or orthodontic clinic setting with a strong background in medical office administration. Knowledge of medical billing procedures including CPT coding, ICD-9/10 coding, and familiarity with health insurance processes like Medicare is essential. Excellent customer service skills combined with professional phone etiquette and effective communication abilities. Strong computer skills including Microsoft Office Suite (Word, Excel) and data entry accuracy with 10-key typing proficiency. Bilingual abilities are a plus to serve diverse patient populations effectively. Demonstrated understanding of HIPAA regulations and clinical confidentiality policies to protect patient information at all times. Clinic experience in medical records management, health information management (HIM), and office support functions is preferred.
