Job Description

Responsibility Summary:
The Medical Secretary's responsibilities are to perform clerical and receptionist duties. Answers incoming phone calls, registers patients, and schedules appointments as needed. Performs various clerical/support functions in conjunction with the completion and processing of all types of records including electronic filing and routine release of information requests. Performs other tasks as assigned. The Medical Secretary is responsible to log patient demographic information into EMR per designated workflow and obtain necessary treatment, billing and consent signatures. Staff also responsible to conduct aspects of pre-visit planning and conductive work in accordance with practice workflow and goals as a patient centered medical home. Introduces new patients to the medical home model. Encourages and informs patients how to access their care team during and after office hours.
Essential Job Functions:
(Maximum of the first 5 will be included in the performance appraisal) Handles routine requests for medical record information according to policy and procedure. Answers basic release of information questions and follows up on a timely basis. Provides telephone services, including answering calls, taking messages, giving information and making requests for services in a courteous and professional manner. Ensures all electronic medical records are in appropriate order and information is forwarded for review as needed within the Practice EMR. Updates computer with patient demographics, diagnosis, and orders. Makes and records all referral information in the patient record. Reviews and updates the patient demographic information and the patient record at each visit. Initiates and maintains the patient chart within the EMR system appropriately and in functional order. Verifies all information in chart is complete and accurate Schedules patient visits Accurately completes all areas of EMR patient registration. Responsible for verifying insurance eligibility, ensuring referrals are in place, collecting patient co-pays and payments, and accurately communicating with patient regarding questions about office financial policies. Enters data into scheduling/billing system. Staff training to ensure up to date knowledge and ability to function using Practice EMR in accordance with all policies and legal requirements.
