In this vital role, you will serve as the primary point of contact for patients, healthcare providers, and insurance companies, ensuring smooth administrative operations within the medical office. Your energetic approach will help facilitate efficient appointment scheduling, accurate documentation, and effective communication, all while maintaining strict confidentiality and compliance with healthcare regulations. This position offers an exciting opportunity to contribute to quality patient care through exceptional administrative support. Salary DOE. Responsibilities Manage patient scheduling using electronic health record (EHR) systems such as Medent to optimize clinic flow and reduce wait times. Greet patients warmly at the front desk, handle phone inquiries with professional phone etiquette, and coordinate appointment confirmations and follow-ups. Review and process medical documentation, including care plans, progress notes, and referral information, ensuring accuracy and completeness in compliance with HIPAA and clinical confidentiality policies. Assist with medical billing and collections by verifying insurance coverage Maintain meticulous medical records by organizing electronic health records (EHR), updating patient information, and ensuring adherence to health information management standards. Support clinical staff by preparing necessary documentation for procedures Demonstrate proficiency in computer skills including Microsoft Office Suite for report generation, data entry, and correspondence. Qualifications Proven experience as a Medical Secretary or in a similar medical administrative support role within a clinical setting. Strong knowledge of EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks; familiarity with electronic health records management is essential. Excellent understanding of medical terminology, CPT coding, ICDs coding (ICD-10/ICD-9), and health insurance processes including Medicare billing procedures. Bilingual abilities are highly desirable to serve diverse patient populations effectively. Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment while maintaining attention to detail. Demonstrated knowledge of HIPAA regulations and clinical confidentiality policies to ensure patient privacy at all times. Proficiency in Microsoft Office applications such as Word, Excel, and Outlook; experience with 10-key typing is preferred. Outstanding customer service skills coupled with professional phone etiquette; experience at a front desk or medical receptionist role is advantageous. Strong clerical experience including appointment scheduling, documentation review, and medical records management within a healthcare setting.
