In this vital role, you will be the first point of contact for patients, managing appointments, patient records, and insurance processes with precision and professionalism. Your proactive approach will ensure smooth clinic operations and foster a positive atmosphere for both patients and staff. Responsibilities Greet patients warmly and manage check-in/check-out procedures efficiently using Electronic Health Records (EHR) systems such as Epic, Meditech, or eClinicalWorks. Schedule appointments accurately, coordinate patient flow, and handle appointment confirmations via phone and electronic communication. Verify patient insurance coverage, process medical billing and collections, including Medicare and health insurance claims using knowledge of CPT coding, ICD-9/10 codes, and HIPAA compliance. Maintain meticulous medical records, review documentation for accuracy, and ensure confidentiality in accordance with clinical confidentiality policies. Answer multi-line phone systems with professional phone etiquette; provide excellent customer service by addressing inquiries promptly and courteously. Manage electronic health records (EHR) management, filing, data entry, and perform 10-key typing with speed and accuracy. Assist with clinical documentation review, care plans, and medical coding to support seamless office operations. Support medical administrative tasks such as filing, faxing, data entry, and office organization to ensure an efficient workflow. Collaborate with clinical staff to facilitate smooth patient scheduling and follow-up procedures while maintaining compliance with health information management standards. Experience Prior clinic or dental office experience is highly preferred; demonstrated familiarity with medical office management is a plus. Strong computer skills including proficiency in Microsoft Office Suite and experience working with EMR/EHR systems like Epic, Meditech, Athenahealth or similar platforms. Knowledge of health insurance processes including Medicare billing, health information management, and medical billing practices. Bilingual abilities are advantageous to serve diverse patient populations effectively. Excellent customer service skills combined with clerical experience in a fast-paced environment. Understanding of medical terminology, clinical confidentiality policies, and documentation review procedures. Previous experience in medical scheduling, phone communication, front desk operations or healthcare administrative support is desirable.
