Location:
Wexford, PA Position Type:
Part-Time (Approx. 20-24 hours/week)
Schedule:
Monday, Tuesday, Thursday, Friday | 10:00 AM - 4:00 PM (Wednesdays Closed / No Weekends)
Compensation:
$13.00 - $16.00 / hour (Pay is negotiable for the right candidate based on experience)

Immediate ​Position Overview ​We are seeking a dependable, energetic, and detail-oriented Medical Front Desk Receptionist to join our Wexford outpatient practice immediately. Serving as the primary point of contact for our practice, you will ensure a warm, welcoming, and organized environment for every patient. ​This role manages front-desk administrative workflows, coordinates clinical and specialized patient scheduling, maintains supply operations, and upholds the highest standards of financial integrity and patient confidentiality. ​Key Responsibilities ​Patient Coordination & Front-Desk Reception ​Greet patients and visitors warmly, managing all check-in and check-out procedures with exceptional customer service and professional phone etiquette. ​Accurately schedule and manage appointments using Electronic Health Record (EHR/EMR) systems, coordinating both routine primary care visits and specialized appointments (such as FAA flight physical examinations). ​Administer patient intake, consent forms, and medical history documentation, ensuring records are complete and accurate prior to clinical evaluation. ​Collaborate closely with clinical and administrative staff to ensure seamless patient flow, efficient room turnover, and minimal wait times. ​Financial Administration & Compliance ​Verify patient insurance coverage, eligibility, and demographics (including commercial payers and Medicare). ​Collect and process patient copays, deductibles, and outstanding account balances at check-in/check-out. ​Maintain daily transaction logs, balance end-of-day batches, and manage payment receipts with absolute financial integrity and accuracy. ​Strictly enforce and maintain compliance with HIPAA, HITECH, and clinical confidentiality regulations regarding protected health information (PHI). ​Assist with basic administrative billing support, document routing, and reviewing basic coding documentation (CPT / ICD-10) for record completeness. ​Practice Operations & Vendor Coordination ​Answer and triage multi-line telephone calls promptly, relaying accurate messages and clinical inquiries to appropriate staff. ​Serve as the professional liaison for visiting pharmaceutical and medical sales representatives, managing vendor inquiries and adherence to office representative protocols. ​Process daily incoming and outgoing correspondence, sort physical mail, and sign for deliveries and packages. ​Oversee office supply inventory and restocking, ensuring front-desk printers, scanners, stationery, envelopes, stamps, paper clips, pens, and paper/ink supplies are consistently maintained. ​Perform clerical and administrative duties including scanning, electronic document indexing, 10-key data entry, and maintenance of a clean, organized reception area. ​Assist with other miscellaneous administrative and practice duties as needed. ​Qualifications & Requirements ​
Experience:
Prior front-desk reception, administrative, or medical office experience in an outpatient clinic or healthcare setting preferred. ​
EHR/EMR Proficiency:
Familiarity with Electronic Medical Records / Electronic Health Records software (e.g., Athenahealth, Medent, Epic, eClinicalWorks, or similar platforms) is a plus. ​
Billing & Insurance Familiarity:
Basic familiarity with patient insurance verification, copay collection, and routine healthcare terminology (CPT, ICD-10). ​
Integrity & Compliance:
Uncompromising ethical standards when handling practice funds, processing payments, and managing confidential patient data under HIPAA guidelines. ​
Technical Skills:
Proficiency with Microsoft Office Suite (Word, Excel, Outlook), multi-line phone systems, document scanners, and basic office technology. ​
Communication & Organization:
Strong verbal and written communication skills, exceptional attention to detail, and the ability to multitask effectively in a steady clinical environment. ​
Availability:
