Position Summary Astra Medical Management is seeking a bilingual Medical Front Desk Receptionist for NuvaCare Clinic, a family medicine and obstetrics practice in Cordova. This employee will be the first and last point of contact for patients and will help keep the front office organized, responsive, and welcoming. Responsibilities include answering telephone calls, scheduling appointments, registering patients, verifying insurance, collecting payments, managing patient communications, and supporting daily clinic operations. The right candidate will combine medical front-office experience with strong customer-service. This person must be comfortable explaining NuvaCare's services, following up with prospective patients, and helping appropriate callers schedule appointments. Because NuvaCare is a growing practice, the employee must be dependable, proactive, willing to learn, and comfortable assisting with different front-office needs as the practice develops. Primary Responsibilities Greet patients warmly and manage check-in and check-out. Answer telephone calls professionally in English and Spanish. Schedule, confirm, reschedule, and cancel appointments. Help fill appointment openings created by cancellations. Register patients and maintain accurate demographic, contact, and insurance information. Verify insurance eligibility and benefits before appointments when possible. Collect and accurately post copayments, deductibles, self-pay charges, and approved outstanding balances. Explain scheduling options, accepted insurance plans, self-pay fees, office policies, and available services. Follow up with prospective patients and help convert appropriate inquiries into scheduled appointments. Contact patients regarding appointment reminders, cancellations, missed visits, recalls, and approved outreach. Document telephone calls and route clinical questions, refill requests, referrals, and other messages to the appropriate team member. Scan and organize insurance cards, identification, referrals, authorizations, medical records, and patient forms. Monitor voicemail, electronic messages, website inquiries, assigned tasks, and front-office work queues. Assist patients with forms, appointment instructions, and patient-portal access. Protect patient privacy and comply with HIPAA requirements. Maintain an organized, clean, and welcoming reception area. Communicate scheduling problems, patient complaints, and workflow concerns to management. Help develop, document, and follow effective front-office procedures. Support approved outreach, marketing activities, administrative projects, and special events when needed. Perform other reasonable administrative and operational duties needed to support the clinic. eClinicalWorks Responsibilities The employee will use eClinicalWorks to: Register patients and update demographic and insurance information. Schedule and manage appointments. Document telephone communications and route messages. Collect and post patient payments. Scan, label, upload, and route documents. Monitor assigned messages, tasks, and work queues. Maintain complete, accurate, and timely patient information. eClinicalWorks proficiency is strongly preferred. Candidates with experience using a comparable electronic health record system may be considered if they can learn eClinicalWorks quickly and successfully complete the required training. Patient Service and Appointment Conversion The employee must be comfortable: Listening carefully to understand what a prospective patient needs. Explaining NuvaCare's services clearly and confidently. Addressing common nonclinical questions or concerns. Asking the caller to schedule an appointment. Following up with prospective patients who have not scheduled. Building professional relationships that encourage patients to continue their care with NuvaCare. Attendance and Dependability Reliable and punctual attendance is an essential requirement of this position. The employee must be at the assigned workstation, logged into the necessary systems, and ready to work at the scheduled starting time. The employee must follow established procedures for reporting absences or anticipated tardiness, obtain approval for planned time away, and remain for the complete scheduled shift unless authorized to leave. Repeated tardiness, unapproved absences, failure to follow call-out procedures, or leaving work without authorization may result in corrective action, up to and including termination of employment. Required Qualifications Fluent in spoken English and Spanish. At least one year of medical front-office, healthcare reception, or patient-coordination experience. Experience with appointment scheduling, patient registration, insurance verification, and payment collection. Experience in family medicine, pediatrics, women's health, obstetrics, urgent care, or a multispecialty practice. Familiarity with commercial insurance, TennCare, Medicare, and self-pay patients. Strong customer-service, telephone, and communication skills. Dependable, punctual, organized, and attentive to detail. Comfortable discussing fees and requesting payment professionally. Able to manage multiple responsibilities accurately. Comfortable using computers and electronic health record systems. Able to protect confidential patient and business information. Legally authorized to work in the United States. Preferred Qualifications Proficiency in eClinicalWorks. Experience with sales, lead follow-up, patient outreach, call-center work, hospitality, or customer retention. Physical Requierments The position requires regular computer and telephone use, periods of sitting or standing, walking throughout the clinic, and occasionally lifting office supplies weighing up to approximately 25 pounds.
