Job Description

Front Office Specialist Diagnostic Pain Center is seeking a detail-oriented, organized, and patient-focused Front Office Specialist. In this role, you will work alongside our administrative and clinical teams to support the efficient daily operation of the clinic. You will assist physicians, advanced practice providers (APPs), staff, and patients with tasks related to scheduling, patient care coordination, organization, and communication. The successful candidate will complete all responsibilities accurately, professionally, and on time while providing excellent customer service. This position requires flexibility to work between our North and South clinic locations based on operational needs. Candidates must be comfortable working at both locations on a regular basis. Job Responsibilities and Duties Provide front-office support at both the North and South clinic locations Greet, welcome, and direct patients and visitors Check patients in and out Answer phones professionally using proper phone etiquette Schedule and confirm patient appointments Communicate appointment changes and other important information to patients Verify insurance eligibility and benefit information Accurately enter and update patient demographics and insurance information Collect copays, outstanding balances, and other patient payments Accurately batch and reconcile patient payments Process incoming and outgoing faxes Scan, upload, and route documents within the electronic health record Process medical records requests accurately and according to HIPAA requirements Maintain patient confidentiality and comply with all HIPAA regulations Communicate professionally with patients, providers, clinical staff, insurance companies, and referral sources Handle a high volume of calls and patients while remaining organized and professional Demonstrate teamwork by willingly assisting coworkers and communicating professionally Follow all Diagnostic Pain Center policies and procedures Perform other administrative duties as assigned Required Skills and Qualifications Bilingual in English and Spanish is required Previous experience working in a medical office or healthcare setting Strong attention to detail and commitment to accuracy Knowledge of medical office procedures and systems Excellent time-management skills Ability to multitask, prioritize responsibilities, and meet deadlines Strong organizational and planning skills Excellent written and verbal communication skills Professional, dependable, punctual, and self-disciplined Patient-focused, service-oriented, and socially perceptive Ability to work effectively both independently and as part of a team Proficiency in Microsoft Office Experience using electronic health record software Ability to maintain professionalism in a fast-paced healthcare environment Preferred Qualifications Previous pain-management experience is helpful but not required Experience with insurance verification, medical records, payment collection, and appointment scheduling Work Location and Schedule The work schedule will vary between Diagnostic Pain Center's North and South clinic locations. Candidates must have reliable transportation and be available to work at either location based on operational and staffing needs.
