Position Summary The Medical Receptionist serves as the first point of contact for patients and visitors, creating a welcoming and professional experience while ensuring efficient front office operations. This position is responsible for scheduling appointments, patient registration, insurance verification, collecting payments, managing communications, and supporting providers and clinical staff. The Medical Receptionist must maintain patient confidentiality, provide exceptional customer service, and demonstrate compassion and professionalism when interacting with patients in all stages of care. Essential Duties and Responsibilities Patient Check-In & Registration Greet patients and visitors in a courteous and professional manner. Verify patient demographics, insurance information, and required documentation. Obtain copies of insurance cards and photo identification. Ensure all registration paperwork and required forms are completed accurately. Maintain patient confidentiality in accordance with HIPAA regulations. Scheduling Schedule, reschedule, and cancel appointments according to provider schedules and clinic protocols. Coordinate routine OB, gynecologic, ultrasound, and procedure appointments. Verify appointment types and ensure appropriate appointment lengths are scheduled. Review provider schedules for accuracy and identify scheduling conflicts. Insurance & Financial Responsibilities Verify insurance eligibility and benefits prior to appointments. Obtain referrals and prior authorizations as required. Collect copays, deductibles, balances, and other patient payments. Balance daily collections and reconcile payments accurately. Educate patients regarding financial policies when appropriate. Communication Answer incoming phone calls promptly and professionally. Route calls and messages accurately to the appropriate department. Respond to patient inquiries with professionalism and empathy. Assist patients with portal enrollment and navigation when needed. Medical Records & Documentation Scan and upload patient documents into the electronic medical record. Maintain accurate patient records and documentation. Process medical record requests according to clinic policies. Administrative Responsibilities Monitor provider schedules and assist with workflow efficiency. Prepare paperwork for upcoming appointments. Maintain an organized and clean reception area. Assist with office projects and other duties as assigned. Customer Service Expectations Deliver exceptional customer service to every patient. Demonstrate empathy and professionalism during sensitive OB-GYN visits. Maintain a calm, positive, and solution-oriented attitude. Represent the practice in a professional manner at all times. Required Qualifications High school diploma or GED. Valid Drivers License Minimum of one year of medical office experience preferred. Experience in OB-GYN, Women's Health, or Family Practice preferred. Knowledge of medical terminology. Basic understanding of insurance verification and patient registration. Proficient computer skills and experience with electronic medical records. Excellent communication and interpersonal skills. Strong organizational skills with the ability to multitask in a fast-paced environment. Preferred Qualifications Experience using Greenway Intergy or similar electronic health record systems.
