Job Description

Job Overview We are seeking a dynamic and detail-oriented Front Office Representative to serve as the welcoming face for Advanced Pain Institute of Texas. In this vital role, you will manage patient interactions, coordinate appointments, and ensure seamless communication between patients, providers, and administrative staff. Your energetic approach and exceptional organizational skills will help create a positive experience for everyone who walks through our doors. Responsibilities Greet patients and visitors warmly, providing excellent customer service and guiding them through check-in procedures. Schedule patient appointments efficiently using electronic scheduling systems utilizing eClinicalWorks. Manage electronic health records (EHR) systems utilizing eClinicalWorks and maintaining up-to-date and accurate medical records. Assist with medical documentation review, ensuring compliance with HIPAA regulations and clinical confidentiality policies. Handle phone communication professionally, answering inquiries, providing appointment reminders, and directing calls appropriately. Support medical billing processes by coding procedures using CPT codes and
ICD-10/ICD-9
classifications, ensuring proper documentation for reimbursement. Maintain filing systems for medical records and other administrative documents with precision and confidentiality. Perform data entry tasks with high accuracy. Verify patient insurance coverage, including Medicare and health insurance policies, ensuring accurate billing information. Collaborate with clinical staff to facilitate care plans and coordinate patient services efficiently. Qualifications Proven experience in a medical office setting or healthcare environment with strong clerical skills. Knowledge of EMR/EHR systems eClinicalWorks is highly preferred. Familiarity with medical coding including CPT coding, ICD-10/ICD-9 coding, and medical billing procedures. Understanding of health insurance processes and verification , including Medicare and Medicaid billing requirements. Excellent customer service skills with the ability to communicate effectively via phone and in person; bilingual abilities are a plus. Strong computer skills including proficiency in Microsoft Office applications and electronic health record management software. Ability to review medical documentation accurately while maintaining strict confidentiality in accordance with HIPAA standards. Previous clinic or medical office experience is desirable; familiarity with clinical terminology is advantageous. Exceptional organizational skills with attention to detail for filing, documentation review, and data entry tasks. Ability to multitask efficiently in a fast-paced environment while maintaining professionalism at all times.
