Medical Front Desk Coordinator - Full-TimeMulti-Disciplinary Medical Practice Rockport Physical Medicine, PA | Rockport, Texas About Us At Rockport Physical Medicine, PA , we believe exceptional healthcare begins with an exceptional patient experience. We are a growing, multi-disciplinary healthcare practice providing a wide range of services under one roof. Our team works together to provide comprehensive, patient-centered care in a professional, positive, and fast-paced environment. Our services include primary care, physical medicine, chiropractic care, functional rehabilitation, diagnostic testing, wellness services, IV therapy, and aesthetics. Because of the variety of services we provide, our front desk is an essential part of keeping our clinic organized, efficient, and welcoming. We are looking for someone who can confidently manage a busy front office while making every patient feel like they are our priority. The Position We are seeking an experienced Medical Front Desk Coordinator who is friendly, organized, dependable, professional, and exceptionally good at multitasking. This is not a position where you simply answer phones and check patients in. Our front desk coordinates multiple providers, different departments, numerous appointment types, insurance requirements, patient communications, payments, and changing schedules throughout the day. The right person can think ahead, prioritize, stay calm when several things are happening at once, and communicate clearly with both patients and team members. Just as importantly, we want someone who understands hospitality. Patients should be greeted warmly, helped promptly, and never made to feel like they are an interruption—even during our busiest times.
Responsibilities Responsibilities may include:
Greeting and checking patients in and out in a friendly and professional manner Managing schedules for multiple providers and departments Understanding different appointment types, visit lengths, and scheduling requirements Scheduling, rescheduling, and confirming appointments accurately Coordinating appointments across different services when appropriate Answering and managing a high volume of telephone calls Responding appropriately to patient questions and routing clinical questions to the correct team member Monitoring schedules throughout the day and helping maintain efficient patient flow Communicating schedule changes, delays, cancellations, and patient concerns to the appropriate departments Verifying patient demographic and insurance information Collecting copays, deductibles, coinsurance, balances, and other patient payments Accurately posting and documenting payments Understanding basic insurance terminology and patient financial responsibility Obtaining and maintaining required patient forms and documentation Assisting with referrals and authorizations when needed Managing incoming documents, messages, and patient requests Communicating through the electronic health record and patient communication systems Maintaining patient confidentiality and HIPAA compliance Helping patients navigate the different services offered within our practice Keeping the reception and front-office areas organized and professional Communicating effectively with providers, clinical staff, billing, and administration Identifying problems early and taking appropriate steps to help resolve them Assisting other team members and departments when needed What Makes This Position Different Rockport Physical Medicine is not a traditional single-provider medical office. On any given day, our front desk may be coordinating patients for primary care, physical medicine, chiropractic care, rehabilitation, diagnostic testing, procedures, IV therapy, wellness services, and aesthetics. That means the person in this position must be able to learn the differences between our services and understand: Who the patient needs to see What type of appointment they need How much time should be scheduled What information or paperwork may be required Whether insurance or authorization requirements apply Where the patient needs to go next Accuracy matters. A scheduling mistake at the front desk can affect the patient, the provider, and the flow of the entire clinic.
Qualifications Required:
Previous medical front desk, medical receptionist, or healthcare office experience Excellent customer-service skills Excellent verbal and written communication Strong computer skills Strong organizational and multitasking abilities Ability to manage multiple priorities without becoming easily overwhelmed Attention to detail and accuracy Professional telephone etiquette Comfortable discussing payments and patient financial responsibilities Ability to maintain patient confidentiality Dependable attendance and punctuality Ability to work effectively as part of a team
Preferred:
Experience in a busy multi-provider or multi-specialty medical practice Experience with eClinicalWorks (eCW) Medical scheduling experience Insurance verification experience Knowledge of medical insurance terminology Experience collecting copays, deductibles, and patient balances Experience with referrals and prior authorizations Familiarity with Medicare and commercial insurance plans Knowledge of medical terminology The Person We're Looking For Experience is important, but attitude, judgment, and character matter just as much.
