About New Heights Dental and Braces New Heights Dental and Braces, PA is a privately owned, multi-specialty practice serving San Antonio for over 30 years. With three doctors, 13 operatories, and a full range of services — from general dentistry and clear aligners to implants, periodontics, and oral surgery — we are a busy, growing practice that takes quality seriously. Position Overview The Front Desk Patient Coordinator is the first and last interaction a patient has with our practice. You will handle check-in and check-out, phones, scheduling, insurance verification, and payment collection — often all at once. Our front desk team is fully cross-trained, the pace is fast, and we need someone who thrives in that environment. Key Responsibilities Patient Check-In & Check-Out Greet patients warmly and by name; verify demographics, insurance, and health history Collect copays, balances, and payment plan installments at time of service Coordinate post-visit scheduling and answer questions before the patient leaves Phones & Communication Answer calls promptly and professionally; schedule appointments across all providers and departments Handle confirmations, reminders, and rescheduling with efficiency Return missed calls and voicemails the same day Scheduling Collaborate with the Hygiene and Restorative Schedulers to keep the schedule full and organized Fill cancellations from the short-call list; flag gaps to the Clinic Manager Onboard new patients — intake forms, insurance confirmation, and appointment prep Insurance & Payments Verify insurance eligibility and benefits before appointments Communicate out-of-pocket estimates clearly; collect and post payments in CareStack Coordinate billing questions and discrepancies with the Revenue Cycle Manager General Support Keep the front desk and reception area clean and organized Handle mail, faxes, and documents in compliance with HIPAA Support the admin team wherever needed; assist with end-of-day closeout Qualifications Required Minimum 2 years of dental front desk experience — dental-specific background is required Dental insurance knowledge: PPO plans, eligibility verification, and basic billing terminology Hands-on experience with a dental practice management system; CareStack or a comparable cloud-based platform strongly preferred — CareStack experience is a priority Strong communicator — professional, warm, and clear in person and on the phone Reliable, punctual, and detail-oriented Preferred Bilingual in English and Spanish — a plus, but not required What Makes a Great Fit Warm and composed — patients feel it, and so does the team Sharp on details — insurance info, times, and payments all matter Team-first — the front desk wins when the whole practice wins Discreet and professional — what happens in the practice stays in the practice Our Team & Culture New Heights Dental and Braces has been in this community for over 30 years, and our team reflects that same sense of commitment.
