We are seeking a detail-oriented and organized individual to assist our medical practitioner and ensure smooth administrative operations within our facility.
  • Key Responsibilities:
  • Patient Coordination:
  • Efficiently manage patient schedules, including appointments, follow-ups, and cancellations, to ensure optimal workflow and minimal patient wait times. Provide clear communication to patients regarding their appointments and any necessary preparations.
  • Documentation Management:
  • Accurately maintain and update patient records, ensuring confidentiality and compliance with HIPAA regulations. Prepare and process medical documents, reports, and correspondence, ensuring clarity and precision.
  • Communication
  • Answer phone calls, emails, and inquiries promptly and professionally, directing them to the appropriate departments or individuals as needed.
  • Administrative Support:
  • Provide comprehensive support to medical staff, including managing calendars, scheduling meetings, and preparing necessary documentation for appointments. Assist in the preparation and distribution of internal communications and presentations.
  • Billing and Insurance Coordination:
  • Facilitate the processing of billing and insurance claims. Verify insurance coverage, obtain pre-authorizations, and assist patients with billing inquiries to ensure accurate and timely processing.
  • Data Entry and Reporting:
  • Input and update data in electronic health records and other information systems accurately.
  • Customer Service Excellence:
  • Provide a compassionate and empathetic experience for all patients and visitors. Address concerns and resolve issues in a timely and professional manner to enhance patient satisfaction and loyalty.
  • Team Collaboration:
  • Work collaboratively with a diverse team of healthcare professionals. Participate in staff meetings and contribute ideas to improve office processes and enhance the patient experience.
  • Qualifications:
  • Proven experience in a medical administrative role or similar environment
  • Proficiency in medical terminology and understanding of healthcare processes
  • Strong organizational and multitasking skills with attention to detail
  • Excellent communication and interpersonal abilities
  • Competence in using office software, including Microsoft Office Suite and Athena Medical Records System is a plus.
  • Ability to maintain confidentiality and adhere to HIPAA regulations
