Medical Secretary Schedule:
Monday-Friday, 8:30 AM-5:30
PM Location:
Onsite Houston, TX Job Type:
Full-Time About the Role We are seeking an experienced Medical Secretary to join our healthcare team in an onsite administrative role. The ideal candidate has strong front desk and patient service experience, a proven background in high-volume appointment scheduling, and hands-on experience working in Epic EMR . This position is ideal for someone who is organized, professional, detail-oriented, and comfortable providing a high level of customer service in a busy medical environment. What You'll Do Patient & Calendar Management Answer a high volume of incoming patient phone calls and provide professional, compassionate customer service. Schedule and coordinate patient appointments. Manage individual physician calendars, including meetings, committee activities, representative lunches, and other professional commitments. Maintain accurate schedules and ensure timely communication with patients and providers. Testing & Referrals Schedule in-house and out-of-house ancillary testing. Coordinate general referrals, including physical therapy and home health services. Process and manage HMO insurance referrals. Follow up on referrals and testing to ensure required information is completed and communicated appropriately. EHR & Administrative Support Work extensively within Epic EMR . Route electronic mail and messages to appropriate providers. Scan and index documents into patient medical records. Process incoming and outgoing faxes. Enter designated provider orders, including referral orders. Maintain accurate and timely documentation. Medication & Insurance Support Coordinate and schedule peer-to-peer reviews related to medications and ancillary testing. Communicate with providers, insurance plans, and other healthcare contacts as needed. Assist with administrative processes related to insurance requirements and patient services. Required Qualifications 3+ years of medical scheduling experience Previous front desk experience in a medical or healthcare setting Experience handling high-volume patient calls Hands-on Epic EMR experience Strong customer service and communication skills Excellent organization and attention to detail Ability to manage multiple priorities in a fast-paced environment Professional and patient-focused approach Preferred Background Experience in a concierge, luxury hospitality, patient concierge, or high-touch customer service environment is highly valued. Candidates who understand how to provide a polished, personalized, and professional patient experience are encouraged to apply. You should be comfortable working independently, navigating Epic, coordinating complex schedules, and communicating effectively with physicians, patients, insurance companies, and healthcare partners.
