Job Description

Blue Ridge ENT is seeking a friendly, organized, and dependable Front Office Specialist to join our team. This position plays an important role in creating a positive patient experience and supporting the day-to-day operations of our practice. The Front Office Specialist is often the first and last point of contact for our patients. We are looking for someone who enjoys working with people, communicates professionally, pays close attention to detail, and can remain calm and helpful in a busy medical office environment. POSITION SUMMARY
The primary responsibility of a front office specialist is to act as a central point of communication among doctors, patients, and other team members of the health care team. This entails answering the phone, maintaining patient check-in and check-out and answering questions while providing superior service to our patients.

  • Greet and assist patients and visitors at the front desk with a welcoming and professional demeanor.
  • Answer incoming phone calls, schedule appointments, and communicate with patients using consistent and courteous telephone etiquette.
  • Register new patients and update existing records by accurately collecting and verifying personal, financial, insurance, and identification information, including patient photographs and Medicaid eligibility when applicable.
  • Monitor and manage night messages, appointment requests, and incoming correspondence (including the New Patient folder) to ensure timely follow-up and appropriate routing.
  • Schedule follow-up appointments, in-office procedures, radiology tests, and specialist referrals as directed.
  • Obtain prior authorizations from insurance providers for applicable services and procedures.
  • Review and verify the accuracy of test results and documentation within the Electronic Health Record (EHR) system.
  • Prepare and send patient recall communications in accordance with clinic protocols.
  • Provide backup support for patient check-in and check-out functions, including scheduling follow-up appointments.
  • Collect and post patient co-pays, surgery deposits, and other payments; ensure accurate daily reconciliation of receipts.
  • Secure, balance, and manage the clinic's money bag at the end of each business day.
  • Participate in assigned late-night coverage on a rotating weekly basis.
  • Ensure the clinic is properly secured at closing, including turning off lights and locking doors.

SKILLS & ABILITIES
Education:
High School Diploma or GED, required.
Experience:
6 plus months of experience or previous medical office receptionist experience, preferred.
Computer Skills:
Ability to efficiently operate computer systems, including EHR software. Proficiency in Microsoft Office, including Word and Excel.
