Job Description
Medical Receptionist Overview We are seeking another dedicated and detail-oriented Medical Receptionist to join our growing team at Valley Obesity Medicine and Diabetes. The ideal candidate will possess strong administrative skills, excellent communication abilities, and a growth orientation. The Medical Receptionist serves as the first point of contact for patients and visitors, creating a welcoming, organized, and efficient front‑office experience. This role supports daily clinic operations by managing patient flow, scheduling, communication, and administrative tasks with professionalism and compassion. Key Responsibilities Patient Experience & Front Desk Operations Greet patients warmly and ensure a positive check‑in experience Manage patient intake, verify demographics, update records accurately and perform tests as indicated Answer phone calls, respond to messages, and route inquiries appropriately Help maintain a clean, organized, and inviting clinical area Scheduling & Coordination Schedule initial and follow-up appointments Confirm appointments and manage cancellations or rescheduling Coordinate provider schedules to optimize clinic flow Assist with telehealth setup and patient instructions Administrative & Clerical Duties Verify insurance coverage and collect copays or outstanding balances Process forms, referrals, and medical record requests Scan, upload, and organize documents within the EHR Maintain confidentiality and comply with HIPAA standards Communication & Support Provide clear, friendly communication to patients regarding wait times, instructions, and clinic policies Collaborate with clinical staff to ensure smooth transitions between front and back office Support patient education materials and distribute handouts as needed Assist with marketing initiatives Qualifications High school diploma or equivalent required; additional training in medical office administration preferred Prior experience in a medical or wellness practice strongly preferred Proficiency with EHR systems, especially experience with Athena (EHR) preferred Strong communication skills, both in person and over the phone Ability to multitask, stay organized, and remain calm in a fast‑paced environment Commitment to patient-centered care, inclusivity, and professionalism Core Competencies Warm, welcoming interpersonal style Attention to detail and accuracy Reliability and punctuality Problem-solving and adaptability Respect for confidentiality and compliance Physical Requirements Ability to sit, stand, and move between front desk and clinical areas Ability to lift up to 20 lbs occasionally (e.g., office supplies, files)
