Position Overview:
Hard Luck Animal Welfare Advocates (Hard Luck A.W.A), in partnership with the Stockton Animal Shelter (SAS), are seeking a dedicated and detail-oriented Veterinary Medical Scribe/CSR to join our animal care team. The ideal candidate will play a crucial role in facilitating communication between patients' caregivers, city staff and medical staff, ensuring that all necessary information is accurately recorded and managed. This position requires strong organizational skills, excellent communication abilities, and a commitment to maintaining high standards of patient care.
Key Responsibilities Patient Communication:
Manage incoming phone calls related to medical inquiries, transferring calls from dispatch/front desk as necessary. Conduct pre-operative and post-operative patient inquiries to gather relevant information.
Medication Management:
Provide clear medication instructions to patient's caregivers and handle prescription refills. Coordinate with the Hard Luck A.W.A. staff for prescription refills and notify patients' caregivers of pickup times.
Appointment Coordination:
Confirm appointments for surgeries, follow-ups, and vaccinations, including those required for foster cases. Maintain and update the surgery schedule to ensure smooth operations.
Medical Record Management:
Facilitate the transfer of medical records, including transfers to UC Davis as needed. Conduct follow-up medical calls, particularly after significant surgeries or in cases of complications.
Documentation and Data Entry:
Scan and enter surgical and treatment paperwork into the Chameleon Operating system. Scribe and upload medical notes accurately to ensure comprehensive patient records.
Lab Follow-Up:
Follow up with laboratories regarding test results and communicate necessary information to patients and providers.
Requirements:
Qualifications:
Must have or be able to apply for the CA controlled substance permit. High school diploma or equivalent; additional education in healthcare, veterinary, or medical terminology is a plus. Previous experience in a veterinary or medical office or scribing role preferred. Strong verbal and written communication skills. Proficiency in electronic medical record (EMR) systems, preferably Animals First. Exceptional organizational skills and attention to detail. Ability to handle sensitive information with confidentiality.
Work Environment:
This role is typically performed in a clinical setting, requiring interaction with veterinary and animal shelter professionals and patients. Flexibility to work various shifts may be required to accommodate patient needs.
