JOB SUMMARY
The Behavioral Health (BH) Administrative Assistant performs general office and receptionist duties and other duties as assigned. Provides pleasant and professional office support to the public and other staff. Works as a team with all personnel.
EDUCATION & WORK EXPERIENCE A
high school degree or equivalent experience is preferred. Experience with receptionist duties and personal computer is preferred
DUTIES AND RESPONSIBILITIES
Understands, believes in, and adopts Optimae LifeServices' Mission, Vision, and Core Values. Greets the public in person and on the phone in a polite and professional manner, providing general information, answering questions, and directing people to appropriate staff. Performs job in compliance with applicable laws, agency policies and procedures as well as community and professional standards. Becomes proficient in scheduling appointments and other assigned tasks using Credible software. Maintains privacy in all aspects of the job. Responsible for the day to day office phone management. Answers phone, receives messages, and returns messages as appropriate. Makes daily reminder calls to customers. Assures the office phones are forwarded to answering service for after hours, weekends, and holidays for on call staff. Collects co-pays, balances at the window; updates client information in Credible. Complete bank deposits as needed; collects on A/R balances Processes critical incidents within the requested timeframe, submits to Regional Office Manager for review Verifies customers' insurance daily. Research and resolve denials. Receives, sort, files and retrieves form, correspondence and documents. Processes and distributes confidential and sensitive information. Establishes updates and maintains filing system in order to manage files and records. Composes, formats, and types routine correspondence, reports, and other documents. Operates a variety of office equipment including, but not limited to personal computers, printers, copiers, scanners, fax machines and adding machines. Prepares, receives and processes incoming mail, fills copy machine, shreds paper, and delivers faxes. Assists with records requests, correspondence and faxes/mailing records. Attends meetings and educational programs as required. Actively markets Optimae to potential business partners with approved marketing materials. Marketing will include in-person visits, email and phone communication. Participates in the agency quality improvement activities. Participates and communicates with other departments within Optimae to assure that tasks are completed and organized. Performs additional duties and responsibilities as assigned.
Pay:
$16.00 - $18.00 per hour
