Job Description

Administrative and executive assistants are responsible for completing administrative tasks in the office. We at Creekside Counseling Group believe everyone deserves access to quality mental health care. We pride ourselves in creating a comfortable environment where clients can experience growth and healing. Our goal is to help guide clients towards positive change so they can live the life they've always wanted. We are looking for an individual who can start part-time 3 days per week. There may be an opportunity for this position to grow into full-time in the future. Administrative Assistant Job Responsibilities
  • Must be able to handle large call volumes
  • Answer phone calls and help clients with any scheduling, billing, or other needs.
  • Schedule clients with clinicians using a virtual scheduling system.
  • Collect client co-pays
  • Greeting and assisting clients by answering questions regarding therapy services.
  • Handling office tasks, such as filing or ordering supplies.
  • Organize and maintain files and databases in a confidential manner.
  • Emailing client forms to new clients and uploading to client profile on virtual scheduling system.
  • Updating client information as needed in the virtual scheduling system.
  • Receive deliveries; sort and distribute incoming mail.
  • Maintain cleanliness of the office and waiting room, including but not limited to wiping down seats in the waiting room, cleaning bathrooms weekly, and dusting windows.
Executive Assistant Job Responsibilities Support to Chief Executive Officer (CEO): Manage confidential correspondence and internal communications Maintain digital and paper filing systems; track deadlines and prioritize tasks Act as a liaison between executive leadership and internal departments Coordinate logistics for agency events, trainings, and staff appreciation activities Handle sensitive information with integrity and discretion Travel between agency locations as required Organize and maintain office storage areas; receive and store deliveries Support to Clinical Director ( CD): Assist with research projects and administrative planning Take meeting minutes and track action items for follow-up Manage calendars, schedule internal and external appointments Support to Chief Financial Officer (CFO): Collect mail daily and deliver to respective departments Collect and organize receipts and financial documentation Purchase office supplies (online and in-store) Update mailboxes and wall name plates upon employee hiring and/or departure Track employee work anniversaries and birthdays Order birthday/anniversary treats for each respective office each month Create coupons for each office's monthly Creekside Star Assist with printing and mailing billing statements Send emailed cost estimates upon scheduling of client's first intake appointment Assist with auditing of safes at each location Restock vending supplies at each location Daily count of Meridian client sessions left per CPT code onto patients info tab Marketing Support Distribute marketing materials in the community Assist with planning and coordinating community expos and marketing events Qualifications/Skills
  • Strong interpersonal skills
  • Proficient computer skills, especially typing
  • Detail oriented
  • Strong verbal and written communication skills
  • Strong ability to manage time and prioritize tasks
  • Working knowledge of general office equipment Education and Experience Requirements
  • High School Diploma or GED (Required), associate's degree in Business Administration, psychology and/or Medical Billing preferred. Or working toward Bachelor's in Social Work, Counseling, or Psycology.
  • 1 year of clerical, secretarial, or office experience (Required)
  • Medical office experience preferred
