Compensation:
$17.00-20.00/hour
DOE Schedule:
On-site presence required approximately 1-3 hours Monday evening or Tuesday mornings weekly; remaining hours as needed to complete assigned duties. Monday-Friday availability to respond to referrals within 2 business days. Position Summary The Administrative Assistant provides front-office and administrative support to keep the practice running smoothly day to day, including office upkeep, consultation request follow-up, and social media/marketing support. This role does not include bookkeeping, financial categorization, or reconciliation, which are handled by the practice's contracted bookkeeper and the Clinical Practice Manager. Key Responsibilities Office Administration Retrieve, open, and organize mail from the practice PO Box. Scan, shred, and or pass along mail to Practice Owner Coordinate transfer of documents to Bookkeeper and/or Biller. Monitor and restock office and client-facing supplies (soap, towels, waiting room items, etc.). Maintain general office cleanliness between scheduled professional cleaning visits. Address routine facility issues (e.g., contacting the security company for door/lock service) and escalate as needed. Resource Coordination Maintain the practice's community and referral resource library. Coordinate event materials, bulletin board postings, and related client-facing resource displays. Consultation & Referral Follow-Up Respond to incoming consultation requests, including verifying insurance, collecting required intake forms, and confirming session date/time and clinician preference. Maintain and update waitlist entries in coordination with the Clinical Practice Manager. Social Media & Marketing Support Create and schedule social media posts to maintain an active, professional online presence. Design flyers, event materials, and related marketing assets (e.g., via Canva, Instagram and Facebook). General Support Provide support for miscellaneous administrative requests from the Practice Owner or Clinical Practice Manager as assigned. Qualifications Strong organizational and communication skills Comfort with basic design/social media tools (e.g., Canva, Instagram posting, Facebook posting and possibly managing a page on Facebook and answering messages on IG) Ability to interact professionally with clients regarding insurance and scheduling information; discretion with confidential client information Must possess reliable transportation Must be a self-starter with problem solving skills
Pay:
$17.00 - $20.00 per hour Expected hours: 5.0 - 10.0 per week
