$18.00 - $21.00 per hour (based on experience) About Pioneer Counseling and Consulting Pioneer Counseling and Consulting is seeking a proactive, and compassionate Part-Time Medical Assistant (MA) to join our outpatient behavioral health team. This position is based primarily at our McMurray, PA office, with occasional coverage at our Washington, PA location as needed. In this role, you will work in close, daily collaboration with our Psychiatric Mental Health Nurse Practitioners (PMHNPs), administrative staff, and Lead Medical Assistant. You will serve as a dedicated advocate for patient care across all payer models—navigating Commercial Insurance, Medicare (CMS), and Medicaid—while conducting patient intakes, performing vital signs, coordinating medication refills, executing prior authorizations, liaising with pharmacies, and supporting interventional psychiatry services (including Spravato / esketamine therapy). •
Training Note:
Prior Spravato experience is preferred, but not required—we are glad to provide hands-on training on-site working directly alongside our Lead MA.
Key Responsibilities Patient Advocacy Intakes & Multi-Payer Insurance Verification:
Verify patient insurance eligibility, benefits, and coverage requirements across commercial insurance plans, Medicare (CMS), and PA Medicaid (Medical Assistance). Conduct comprehensive clinical intakes for new and returning psychiatric patients, collecting medical histories, current medication lists, and standard behavioral health screening assessments (e.g., PHQ-9, GAD-7). Serve as a compassionate guide for patients navigating insurance barriers, complex coverage guidelines, and medication access issues across all payer types.
Medication Management & PMHNP Collaboration:
Partner closely with PMHNPs to triage, review, and process routine psychiatric medication refill requests accurately and in accordance with practice protocols. Complete, submit, and manage prior authorization requests and appeals for psychotropic medications and specialized therapies across Medicare, Medicaid, and commercial plans. Liaise directly with retail, specialty, and mail-order pharmacies to resolve fulfillment delays, copay assistance needs, or coverage denials. Assist with compliance protocols, including checking state Prescription Drug Monitoring Programs (PDMP) databases prior to prescription approvals.
Direct Clinical & Spravato Support:
Measure and record vital signs accurately. Assist in administering and monitoring patients during mandatory post-administration observation periods for Spravato treatments; assist with REMS documentation and inventory management. Assess, prioritize, and triage patient phone calls, portal messages, and urgent clinical inquiries, escalating concerns appropriately to prescribing providers. Maintain accurate, timely, and compliant clinical documentation within the practice Electronic Health Record (EHR) system.
Qualifications & Requirements Education & Credentials:
High School Diploma or GED required; completion of an accredited Medical Assistant program. Certified Medical Assistant (CMA) or Registered Medical Assistant (RMA) preferred. Current
CPR / BLS
Certification required.

Payer Knowledge:
Experience checking insurance eligibility and completing prior authorizations across Commercial, Medicare (CMS), and Medicaid lines of coverage.
EHR Background:
Experience navigating EHR systems for chart preparation, clinical messaging, and patient documentation.
Experience:
Minimum 1+ years of Medical Assistant experience required. Experience in psychiatry, outpatient behavioral health, or primary care preferred.
Spravato Protocol:
Spravato / esketamine experience preferred OR a strong willingness to receive on-site training working alongside our Lead MA.
Core Strengths:
Strong patient advocacy mindset with a compassionate, empathetic approach to behavioral health care. High level of detail orientation regarding medication safety, insurance guidelines, and HIPAA compliance.

McMurray Office — 4000 Waterdam Plaza Dr, Suite 260, McMurray, PA 15317 (Majority of working hours)
Secondary Office:
Washington Office — 400 Locust Ave, Washington, PA 15301 (Occasional coverage as needed)
Schedule:
Flexible Part-Time hours during regular clinic operating hours.
