In this vital role, you will serve as the first point of contact, managing administrative tasks with energy and precision. Your expertise in medical administrative support, EMR systems, and health information management will ensure seamless operations across our clinic. This position offers an exciting opportunity to contribute to mental health services while utilizing your comprehensive office skills in a fast-paced, compassionate setting. Responsibilities Greet patients and visitors warmly, providing exceptional front desk customer service while managing appointment scheduling and patient check-in processes. Handle phone communication with professionalism, answering inquiries and directing calls accurately using phone etiquette. Maintain and update electronic health records (EHR) systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or similar platforms to ensure accurate documentation review and data entry. Manage medical billing and collections, including insurance verification, coding (CPT, ICD-9/10), and submission for Medicare and other health plans. Assist with medical records management, filing physical documents and electronic health records (EHR), ensuring compliance with HIPAA and clinical confidentiality policies. Support clinical staff with documentation review, care plan updates, and medical office management tasks to streamline daily operations. Perform clerical duties such as typing reports, 10-key data entry, filing, and maintaining organized office supplies to promote a productive work environment. Qualifications Proven experience in medical office administration or healthcare clerical support within a clinic or dental setting. Strong knowledge of EMR/EHR systems including Epic, Meditech, Athenahealth or eClinicalWorks; familiarity with electronic health records management is essential. Experience with medical coding (CPT, ICD-9/10), billing processes, and insurance procedures such as Medicare is highly desirable. Excellent computer skills with proficiency in Microsoft Office Suite (Word, Excel) and typing accuracy for documentation review. Bilingual abilities are a plus to serve diverse patient populations effectively. Demonstrated understanding of HIPAA regulations and clinical confidentiality policies to protect patient information. Exceptional customer service skills combined with phone etiquette and professional communication abilities. Clinic experience in behavioral health or mental health settings is preferred but not required; clinic experience in general healthcare is beneficial.
