Job Description

Job Overview Life's Waves Counseling is a growing mental health practice dedicated to providing compassionate, high-quality therapy. We are looking for an Administrative Assistant who shares our commitment to creating a welcoming, supportive, and professional experience for every client who reaches out to our practice. The Administrative Assistant will serve as an important point of connection between clients, therapists, and the practice. This position will provide administrative and client-support services, including answering calls and messages, scheduling appointments, assisting with new-client inquiries and paperwork, supporting therapists, and helping keep the daily operations of the practice running smoothly. We are looking for someone who is warm, dependable, organized, responsive, and comfortable working in a fast-paced environment. The right person will understand the importance of confidentiality, professionalism, and compassionate communication. Duties Manage appointment scheduling and coordinate client sessions with precision, ensuring optimal use of provider time and resources Handle incoming calls with professionalism, providing empathetic client communication and directing inquiries appropriately Maintain and update electronic health records (EHR) accurately, ensuring compliance with privacy regulations and data integrity Enter data meticulously into various healthcare management systems, including patient information, billing details, and appointment logs Facilitate internal communication among staff members to ensure everyone stays informed about schedules, updates, and policy changes Collect payments and process invoices Support therapists with administrative needs Scan, upload, and organize documents Monitor office supplies and assist with office organization Perform other administrative duties as assigned Qualifications High school diploma or equivalent required Previous administrative or medical office experience preferred Excellent written and verbal communication skills Strong attention to detail and organizational skills Ability to prioritize and multitask Comfortable learning new technology and software Experience with electronic health records is a plus Professional, compassionate, and client-focused demeanor Ability to maintain strict confidentiality (HIPAA) Join us in making a meaningful difference by supporting mental health care delivery through energetic service and meticulous administrative support. Pay:
$22.00 - $25.00 per hour
