We're looking for a Staffing & Timekeeping Coordinator to join our team and help keep our nursing department appropriately staffed, organized, and running smoothly. In a skilled nursing facility, every day can bring last-minute call-outs, schedule changes, PTO requests, shift swaps, timekeeping questions, and unexpected staffing needs. We need someone who can stay calm, think ahead, communicate clearly, and figure things out when the schedule doesn't go according to plan. What You'll Do Scheduling & Staffing Create and maintain nursing staff schedules for CNAs, LPNs, and RNs Monitor staffing needs and proactively identify coverage gaps Coordinate call-outs, replacements, shift changes, and schedule adjustments Communicate with nursing staff regarding schedules, availability, open shifts, and changes Track PTO, requested time off, availability, and other scheduling considerations Follow up on open shifts and actively work to find appropriate coverage Help coordinate new-hire scheduling and orientation needs Work closely with the Director of Nursing, nursing supervisors, and other members of the leadership team Help ensure staffing assignments align with facility needs and applicable requirements Respond to last-minute staffing issues calmly and efficiently Timekeeping & Payroll Preparation Review employee time cards for accuracy and completeness Identify and correct timekeeping errors, missed punches, incorrect hours, and other discrepancies Process and document time card edits and corrections Follow up with employees and supervisors when clarification or documentation is needed Ensure time cards accurately reflect hours worked, approved time off, and applicable schedule changes Review timekeeping records prior to payroll submission Prepare accurate timekeeping information for payroll processing Maintain appropriate documentation related to time card corrections and edits Help identify recurring timekeeping issues and work with leadership to address them Administrative & Team Support Maintain accurate staffing and scheduling records Maintain confidentiality when handling employee and resident information Assist with employee scheduling questions and routine staffing-related concerns Help identify recurring scheduling or staffing problems and bring solutions—not just problems—to leadership Perform other administrative duties related to staffing, scheduling, and timekeeping as needed What We're Looking For We're looking for someone who is: Extremely organized and detail-oriented Reliable and consistent Comfortable juggling multiple priorities at once Able to make decisions and prioritize when several things need attention simultaneously A strong communicator who is comfortable speaking with employees at all levels Professional, approachable, and able to hold people accountable when necessary Comfortable working with changing information and last-minute requests Highly accurate when working with numbers, schedules, and employee time records Proficient with computers and able to learn scheduling, timekeeping, and HR systems quickly Good at following through and making sure things actually get done Able to maintain confidentiality and handle sensitive employee information appropriately Comfortable working in a healthcare environment where staffing directly impacts resident care Required Qualifications Current, valid CNA license/certification in the State of Colorado Strong organizational and time-management skills Excellent attention to detail Ability to work independently while also collaborating closely with nursing leadership Ability to communicate professionally with employees, supervisors, and leadership Basic computer proficiency and ability to learn new software systems Ability to handle confidential employee and resident information appropriately Healthcare, skilled nursing, scheduling, staffing, HR, payroll, or timekeeping experience is strongly preferred.
