Job Description
The purpose of this position is to provide workforce scheduling and administrative support for Clinic Services. The Nursing Scheduling Assistant partners with Clinic Nursing Leadership to coordinate staffing schedules, maintain workforce data, support payroll and scheduling processes, and assist with recruitment and onboarding activities. This position plays a key role in ensuring efficient staffing operations by coordinating monthly schedules, managing daily staffing adjustments, monitoring workforce information, and supporting operational initiatives. The incumbent must demonstrate strong organizational skills, attention to detail, excellent communication, and the ability to manage multiple priorities while maintaining confidentiality. Responsibilities include but are not limited to: Coordinate and maintain workforce schedules for Clinic Services, including daily staffing adjustments, coverage planning, and communication of staffing and provider schedule changes. Administer workforce and payroll functions, including timecard corrections, labor allocation reviews, overtime monitoring, compliance tracking, and workforce reporting. Coordinate recruitment and onboarding activities, including interview scheduling, orientation planning, access requests, onboarding documentation, and new hire follow-up. Support leaders and employees through performance review coordination, employee recognition activities, staffing analysis, productivity reporting, and operational initiatives. Monitor and maintain education, competency, onboarding, and compliance records, ensuring timely completion of required training and organizational requirements. Provide administrative support by maintaining confidential workforce records, preparing reports and correspondence, participating in quality improvement efforts, and assisting with departmental projects and operations.
