POSITION SUMMARY
The Administrator in Training (AIT) participates in a structured, board-approved training program designed to prepare the individual for licensure as a Massachusetts Nursing Home Administrator and for assumption of a Skilled Nursing Facility (SNF) Administrator role. Under the supervision of a licensed Administrator preceptor, the AIT progresses through a planned sequence of observation, participation, supervised responsibility, and independent leadership across all major operational areas of the facility. The role requires the development and consistent exercise of independent judgment, discretion, and leadership on matters of significance to facility operations, and demands advanced knowledge customarily acquired through a qualifying degree and specialized instruction. The AIT is expected to demonstrate competency in each major area before completing the program.
MINIMUM REQUIREMENTS / QUALIFICATIONS
1. Must be at least 18 years of age. 2. Bachelor's degree (requires completion of a 6-month AIT program), or Master's degree with a qualifying degree (requires completion of a 3-month AIT program). 3.
Board approval:
The AIT program must be approved by the Massachusetts Board of Registration of Nursing Home Administrators. 4.
Application:
Candidate must apply and register with the Board before beginning the AIT program. 5. Demonstrated leadership potential, professional maturity, and a commitment to pursuing Massachusetts Nursing Home Administrator licensure upon program completion.
POSITION DUTIES / ESSENTIAL FUNCTIONS
The primary duty of this position is to learn and progressively assume the management and general business operations of a skilled nursing facility, exercising increasing discretion and independent judgment. Under the direction of a licensed preceptor, the AIT will:
  • Learn the Administrator role — understand the responsibilities, authority, and accountability of the Administrator, and develop the leadership skills necessary to manage a skilled nursing facility.
  • Regulatory Compliance — learn federal CMS and Massachusetts DPH requirements; understand the survey process, deficiencies, Plans of Correction, and compliance monitoring; and participate in regulatory inspections and complaint investigations.
  • Resident Care & Quality — understand the delivery of safe, person-centered care; monitor quality measures, clinical outcomes, and resident satisfaction; and participate in Quality Assurance and Performance Improvement (QAPI).
  • Leadership & Management — participate in daily leadership operations and interdisciplinary meetings; develop communication, coaching, and conflict-resolution skills; and learn to manage department leaders, delegate effectively, and hold teams accountable.
  • Human Resources — learn recruitment, onboarding, retention, and performance management; understand staffing requirements and workforce planning; and participate in employee counseling and corrective-action processes in accordance with applicable employment laws.
  • Financial Management — understand the facility budget and financial reporting; learn labor, staffing, supply, and operating-cost management; understand census, occupancy, reimbursement, and revenue-cycle fundamentals; and participate in budget development and variance analysis.
  • Operations — gain hands-on experience across all major departments, including Nursing, Social Services, Engagement, Culinary, Rehabilitation, Environmental Services, Maintenance, Infection Prevention, Admissions/Marketing, Business Office, and Human Resources, and understand how they work together to achieve facility goals.
  • Risk Management & Emergency Preparedness — learn incident reporting and risk-management processes; participate in emergency preparedness planning and drills; and understand disaster response, emergency operations, and continuity of care.
  • Infection Prevention & Control — understand the Infection Prevention and Control Program, including surveillance, reporting, outbreak management, and the Administrator's oversight responsibilities.
  • Resident Rights & Customer Experience — understand resident rights, dignity, privacy, choice, and grievance processes; participate in resident/family meetings and grievance resolution; and learn strategies to improve resident and family satisfaction.
  • Admissions & Marketing — understand the admissions process and referral relationships; learn census development and occupancy management; understand payer sources and basic reimbursement principles; and participate in marketing and community outreach.
  • Survey Readiness — conduct mock surveys and facility rounds; review common areas of regulatory risk; and participate in the development and monitoring of Plans of Correction.
  • Strategic Leadership — understand facility goals and key performance indicators; analyze operational data to make evidence-based decisions; and develop skills in strategic planning and performance improvement.
  • Professional Development — develop professional communication and executive presence; demonstrate ethical decision-making and accountability; build relationships with residents, families, employees, providers, regulators, and community partners; and prepare for Massachusetts Nursing Home Administrator licensure.
  • Other duties as assigned in support of the training program.
KNOWLEDGE, SKILLS AND ABILITIES
  • Demonstrated ability to develop and exercise sound, independent judgment and leadership on matters of significance under the guidance of a licensed preceptor.
  • Ability to analyze, interpret, and draw conclusions from operational, clinical, and financial data.
  • Strong communication skills, with the ability to interact professionally with residents, families, Team Members, executives, regulators, and community partners.
  • Ability to deal with residents and their families in a sincere and professional manner.
  • Exhibits initiative, accountability, and sound ethical judgment; makes timely decisions; and effectively prioritizes and plans work.
  • Highly organized and detail oriented, with the ability to adapt quickly in a dynamic clinical environment.
  • Intermediate computer skills, including proficiency in Microsoft Office, email, and internet applications. Experience with Point Click Care preferred.
  • Working knowledge of, or the ability to rapidly learn, applicable state and federal long-term care regulations.
ENVIRONMENTAL ADAPTABILITY
  • Work indoors in a climate-controlled setting.
  • Possible exposure to unpleasant odors.
  • Possible exposure to chemicals as identified in the MSDS Manual.
  • Possible exposure to infections, diseases, and blood borne pathogens.
  • Possible exposure to residents who may be ill, confused, irritable, and irrational.
  • May be subject to angered and/or emotionally upset family members, personnel, and visitors.
  • May work beyond normal working hours and on weekends and holidays when necessary.
PHYSICAL REQUIREMENTS / WORKING CONDITIONS
Primary work will be performed indoors, in both office and clinical settings; may be exposed to the elements (heat, cold, rain, snow); walking and standing frequently throughout the facility; occasional lifting of up to 25 pounds.
