We are a fast-moving, people-first organization and we are looking for an experienced, operationally sharp In-Home Executive Administrator to own our office operations and serve as the backbone of our leadership team. About the Role This is not a support role. As our In-Home Executive Administrator, you will own the day-to-day operations of the agency — driving administrative systems, leading office processes, managing communications at a leadership level, and ensuring that nothing falls through the cracks. You will function as the operational right hand to agency leadership, with real authority and real accountability. What You Will Own Day-to-day office operations — systems, processes, and workflows that keep the agency running at full capacity Leadership-level communications including correspondence, scheduling, and stakeholder coordination Onboarding and HR documentation for new team members from offer through orientation Compliance documentation, deadline tracking, and records management across all agency functions Billing support, basic bookkeeping coordination, and vendor management Caregiver scheduling coordination and shift coverage support in partnership with the staffing team Front-office presence — a professional, warm first point of contact for clients, families, caregivers, and referral partners Special projects, process improvements, and operational initiatives as directed by leadership Who You Are 3-5+ years of operational or administrative experience, with clear progression in responsibility — healthcare or home care background strongly preferred Someone who runs systems, not just supports them — you build the process, own the outcome, and flag problems early Proficient in Microsoft Office (Word, Excel, Outlook), Google Workspace, and comfortable learning new platforms quickly Familiar with or willing to learn SmartCare or similar home care scheduling and management platforms Strong written and verbal communication skills — you represent the agency professionally in every interaction Highly organized with an eye for detail; you manage multiple priorities without dropping the ball Discreet and trustworthy — you will handle confidential personnel and client information daily Experience with scheduling software, ATS platforms, or home care management systems is a strong plus Valid driver's license preferred
