$60,000-$70,000 Position Summary The Nursing Home Staffing Coordinator is responsible for coordinating and maintaining adequate staffing levels to ensure quality member care and compliance with regulatory requirements. This position requires availability outside of regular business hours, including evenings, weekends, and holidays, to respond to staffing needs, coordinate replacement coverage, manage call-outs, and ensure adequate staffing levels are maintained at all times. This position manages employee schedules, coordinates shift coverage, tracks attendance, monitors staffing levels, and processes payroll as assigned. The Staffing Coordinator serves as a key resource for staffing operations, working closely with nursing leadership to ensure compliance with staffing requirements, optimize workforce utilization, and maintain continuity of care for residents. Key Responsibilities Develop, maintain, and update staffing schedules for nursing personnel, including Registered Nurses (RNs), Licensed Practical Nurses (LPNs), and Certified Nursing Assistants (CNAs). Ensure appropriate staffing coverage for all shifts in accordance with facility policies, and member care needs. Be available on-call outside of normal business hours, including evenings, weekends, and holidays, to respond to call-outs, staffing emergencies, schedule changes, and replacement staffing needs, ensuring continuous compliance with staffing requirements and uninterrupted resident care. Monitor staffing levels to ensure compliance with New York State (NYS) mandated staffing ratios and regulatory requirements, proactively addressing coverage gaps and staffing concerns. Coordinate replacement staffing for callouts, vacations, leaves of absence, and unexpected staffing shortages. Monitor staffing levels and proactively address scheduling gaps to maintain continuity of care. Manage agency staff utilization and wage rates, ensuring cost-effective coverage while maintaining appropriate staffing levels and quality of care. Maintain accurate staffing records, attendance logs, overtime reports, and payroll-related documentation. Monitor and manage overtime usage, identifying trends and implementing scheduling strategies to control labor costs while maintaining adequate staffing coverage. Process payroll and validate employee time records, attendance, shift differentials, agency hours, and overtime to ensure accuracy and timely compensation. Communicate schedule changes and staffing updates to employees and department managers in a timely manner. Assist with on-boarding and scheduling of newly hired staff. Collaborate with nursing leadership to optimize staffing efficiency while maintaining quality resident care. Ensure compliance with labor laws, facility policies, and applicable healthcare regulations. Support employee engagement, workplace culture, and team-building initiatives by fostering positive staff communication, recognition, and collaboration across departments. Participate in on-call staffing coverage as required. Qualifications Education High school diploma or equivalent required. Associate degree in healthcare administration, business administration, or related field preferred. Experience Minimum of 1-3 years of scheduling, staffing coordination, or workforce management experience. Experience in a skilled nursing facility, long-term care, assisted living, or healthcare setting preferred. Skills & Competencies Strong organizational and time-management skills. Excellent communication and interpersonal abilities. Ability to work effectively under pressure and manage multiple priorities. Proficiency with scheduling software, electronic health records (EHR), and Microsoft Office applications. Knowledge of nursing staffing requirements and healthcare regulations. Strong problem-solving and conflict-resolution skills. Attention to detail and accuracy in recordkeeping.
