- Rent Administration Specialist
- to join its Long Island team.
This role is ideal for someone with hands-on experience managing NYC residential lease renewals, rent administration, and affordable housing documentation who is highly organized, accurate, and comfortable managing multiple deadlines across a residential portfolio. The successful candidate will work closely with property management, compliance, and senior leadership to ensure lease renewals, resident records, rent information, reporting, and related documentation are completed accurately and on time.
- Key Responsibilities
- Manage annual lease renewal schedules across assigned properties
- Prepare and track required lease renewal notices, including 120-day, 90-day, 60-day, and 30-day follow-up notices
- Review returned lease renewals for completeness and accuracy
- Maintain detailed renewal tracking logs and spreadsheets
- Process executed lease renewals and maintain organized electronic and property records
- Identify outstanding lease matters requiring additional follow-up or escalation
- Maintain accurate leasing, rent administration, and legal tracking reports
- Review property rent rolls and assist with month-end move-out reconciliation
- Track Notices to Vacate and move-out documentation
- Coordinate receipt of move-out packets and related information from property management teams
- Prepare tenant ledgers and resident correspondence as requested
- Prepare household composition notices and other required resident documentation
- Assist with DHCR, HPD, Rent Stabalized and affordable housing reporting requirements
- Prepare Excel-based rent roll reports and quarterly reporting information
- Support special leasing, compliance, and property management projects as assigned
- Qualifications
- Minimum 3 year of experience with NYC residential leases and lease renewals
- Experience with Low-Income Housing Tax Credit (LIHTC) or affordable housing programs required
- Strong knowledge of lease administration and resident documentation
- Intermediate to advanced Microsoft Excel skills
- Strong organizational and time-management skills
- Excellent attention to detail
- Ability to manage multiple properties, deadlines, and priorities simultaneously
- Strong written and verbal communication skills
- Ability to work independently while collaborating with multiple departments
- Preferred Qualifications
- Experience with Yardi or another property management software platform
- Experience with NYC affordable housing, rent-regulated, or mixed-income residential portfolios
- Familiarity with DHCR reporting and compliance and NY Rent Rent Stabilized requirements
