Position summary : Supports the Healthcare Director in leading the non-clinical administration of our small (7-12 residents) private senior living community while also playing a role on the clinical team. This role brings experience in healthcare operations, safety, and quality improvement. The Assistant Director will also interact regularly with the residents and provide some assistance with ADLs and IADLs, and with medication management, when home health aides are not available. Essential duties and responsibilities Operations and administrative leadership
- Assist the Healthcare Director in planning, organizing, and managing day‑to‑day operations.
- Help implement, and update policies and procedures related to resident care coordination, staffing, safety, and emergency preparedness. Monitor compliance with same.
- Support budgeting and expense monitoring.
- When Healthcare Director is not available, make operational decisions within policy.
- Attend weekly team meetings to discuss residents' conditions and changes in level of services, and to revise care plans as needed. Safety, risk management, and environment
- Support safety and risk‑reduction efforts: incident reporting, trend analysis, safety reviews, and follow‑up on corrective actions.
- Lead quality initiatives such as tracking falls, medication‑related incidents, hospital transfers, and other key indicators; participate in root‑cause reviews and corrective action plans.
- Work with housekeeping and maintenance to ensure a clean, safe, and well‑maintained environment for residents and staff.
- Assist in maintaining emergency preparedness plans (fire, weather, power outage, etc.) and ensuring staff are trained. Human resources and staff supervision (non-clinical oversight)
- Assist in onboarding, scheduling, and evaluating non-licensed staff (e.g., personal care aides, housekeeping) in coordination with the Healthcare Director and HR Manager.
- Support orientation and competency checklists for staff in areas such as safety, infection control, and documentation practices.
- Provide coaching, feedback, and progressive discipline as authorized; promote a culture of respect, safety, and teamwork. Resident admissions, records, and care
- Ensure resident records and administrative documentation (emergency contacts, advance directives, service plans) are complete, accurate, and securely maintained.
- Serve as a resource for residents regarding service issues or care‑coordination concerns.
- Collaborate with the clinical team and outside providers (e.g. medical providers, dialysis, home health aides) to support smooth care transitions and communication.
- Assist resident friars with ADLs, IADLs and medication management when home health aides are not available.
- Participate in daily lunch with friars and assist friars as needed.
- Assist friars with lifting and transport when personal care aides are not available.
- Assist in coordinating and arranging transportation to medical appointments; be available as backup driver if needed.
- Make visits to hospitalized friars and friars in local nursing homes to provide support and ensure proper care.
Qualifications:
- Advanced nursing degree, e.g. nurse practitioner, nursing administration OR master's degree in healthcare administration, public health, business administration, or a closely related field.
- Minimum 2-3 years of experience in healthcare operations, senior living, long‑term care, or a related setting, with increasing responsibility.
- Experience in a supervisory or leadership role (e.g., assistant administrator, department manager, operations coordinator) preferred.
- Familiarity with assisted living, quality improvement, and basic infection control and safety standards.
- Excellent communication, interpersonal, and conflict‑resolution skills.
- Commitment to person‑centered care, resident dignity, and a culture of safety and continuous improvement.
- May require occasional evening, weekend, or on‑call coverage depending on facility needs.
Pay:
$55,000.00 - $60,000.00 per year
