Job Description
The Administrator Designee supports the Gardens Care Communities to which they are assigned in overseeing daily operations, ensuring regulatory compliance, and fostering a culture of compassionate, person-centered care. This role requires a flexible, emotionally intelligent leader who can guide staff, uphold resident dignity, and maintain operational excellence across all shifts. Key Responsibilities Leadership & Oversight Serve as a role model for professionalism, reliability, and compassionate care. Provide hands-on support across departments and shifts as needed. Ensure all managers and staff follow company policies and procedures. Monitor staff performance, provide coaching, and implement corrective actions. Address negativity and guide staff in solution-focused problem-solving. Cover shifts when necessary to ensure resident care continuity. Lead by example in attendance, punctuality, and adherence to company values. Working Shifts & Coverage Maintain dependable attendance for assigned QMAP shifts:
Morning:
6:00 AM•2:00PM Evening:
2:00 PM•10:00PM Overnight:
10:00 PM•6:00 AM Minimum of 40 hours per week required. Flexibility to rotate between shifts based on operational needs, resident care, or staffing gaps. Be available for emergency coverage when staff call out and no other coverage is available. Participate in on-call rotation or after-hours support as designated by the Payroll Mgr. Compliance & Quality Assurance Maintain compliance with all applicable state regulations and licensing requirements. Ensure HIPAA compliance and protect resident and staff confidentiality. Support and participate in Quality Management Programs (QMPs).Conduct regular audits:
Weekly narcotic counts Weekly med cart audits Daily med cart and medication storage checks Daily MAR audits Follow up on documentation errors and ensure timely corrections. Oversee weekly destruction of discontinued medications. Resident Care & Advocacy Ensure residents receive care aligned with their individualized care plans. Monitor and update care plans as needed; complete full rewrites bi-annually. Ensure daily progress notes are completed for each resident. Monitor resident safety and report any incidents, injuries, or declines to Brenda. Maintain open, respectful communication with residents, families, guardians, and physicians. Uphold resident rights, dignity, and person-centered care practices. Medication Management Oversee weekly medication ordering and follow-up. Train staff on medication ordering procedures and proper medication storage. Report all medication errors to the Medication Nurse and complete incident reports promptly. Staff Training & Development Conduct new hire onboarding, including completion of all required paperwork. Provide ongoing training and mentorship to staff, including QMAP skill reinforcement. Monitor and support staff in maintaining medication administration standards. Ensure staff are trained in proper documentation, medication storage, and care protocols. Programming & Daily Operations Ensure the monthly activity calendar is completed and posted by the 1st of each month. Monitor implementation of scheduled activities and support staff in engagement efforts. Oversee shift task completion and provide follow-up as needed. Coordinate weekly grocery orders and ensure food menus are posted in resident-accessible areas. Maintain a clean, welcoming, and safe environment throughout the facility. Qualifications QMAP certification in good standing (required) Experience in assisted living or long-term care (preferred) Strong knowledge of state regulations and compliance standards Demonstrated leadership, communication, and conflict resolution skills Ability to manage multiple priorities with attention to detail Commitment to confidentiality, professionalism, and resident-centered care Additional Expectations Maintain QMAP skills at all times Manage overtime within assigned home Provide a 30-day written notice prior to resignation Uphold confidentiality regarding staff and resident mattersHealth Benefits:
$187 towards Health care premiums. Family may be included in the health benefit at the employee's cost, which will be deducted from the paycheck. Sick time is earned at the standard rate of one (1) hour per 30 hours worked.Job Type:
