The Clinical Coordinator plays an essential role in ensuring that students have access to high-quality clinical learning experiences that support course objectives, program outcomes, and regulatory requirements. This position is responsible for coordinating clinical placements, maintaining strong relationships with healthcare partners, monitoring student and site compliance, and working closely with nursing leadership and faculty to anticipate and address clinical needs. The ideal candidate is an excellent communicator and problem-solver who can successfully manage multiple clinical partnerships, deadlines, student requirements, and placement needs in a fast-paced nursing education environment. Key Responsibilities Clinical Placement, Scheduling & Coordination Develop, coordinate, and maintain the clinical schedule for all nursing cohorts, ensuring that required clinical hours, course objectives, and program requirements are met. Coordinate clinical schedules based on student enrollment, cohort size, course sequencing, clinical site availability, faculty availability, and facility capacity . Assign student clinical groups to approved facilities, dates, and rotations in collaboration with the Program Dean and nursing faculty. Prepare clinical schedules sufficiently in advance of each academic session and communicate finalized schedules to the Program Dean, faculty, students, and clinical partners as appropriate. Coordinate and secure appropriate clinical placements for nursing students based on course objectives, program needs, student enrollment, and clinical site capacity. Submit clinical rotation, practicum, and preceptorship requests within established deadlines and according to the requirements of clinical partners and affiliation agreements. Maintain and monitor the master clinical schedule , including sites, cohorts, student groups, faculty assignments, dates, times, and clinical capacity; promptly address scheduling conflicts or necessary changes. Coordinate clinical make-up days and schedule adjustments as needed, ensuring timely communication with students, faculty, clinical sites, and nursing leadership. Work proactively with nursing leadership to forecast clinical placement needs for upcoming academic sessions and cohorts. Identify and evaluate potential new clinical sites to support program growth and maintain adequate clinical capacity. Collaborate with faculty and nursing leadership to coordinate student clinical experiences and preceptorship placements. Maintain accurate clinical schedules, placement records, site information, and other required documentation. Student Clinical Compliance & Onboarding Coordinate student onboarding into the scheduling platform and other clinical partner systems as applicable. Monitor completion of clinical requirements, including background screenings, health documentation, immunizations, certifications, and other facility-specific requirements. Communicate clinical onboarding requirements and deadlines clearly and promptly to students. Monitor student compliance prior to clinical placement and assist with resolving onboarding or clearance concerns that may prevent students from attending clinical. Maintain organized and accurate documentation of student clinical eligibility and compliance. Clinical Site & Affiliation Management Serve as a primary point of contact and professional liaison between the College and assigned clinical partners. Develop and maintain strong, collaborative relationships with hospitals, rehabilitation centers, long-term care facilities, community agencies, and other healthcare organizations. Maintain clinical affiliation agreements and coordinate renewals, amendments, and addenda as needed. Regularly communicate and meet with clinical partners to assess current needs, address concerns, and identify opportunities for continued collaboration. Maintain an organized tracking system for affiliation agreements, expiration dates, placement requests, clinical capacities, and required follow-up. Ensure clinical arrangements remain consistent with affiliation agreements, institutional requirements, and nursing program expectations. Clinical Site Evaluation & Quality Improvement Conduct clinical site visits to evaluate the appropriateness and effectiveness of clinical learning environments. Assess prospective clinical sites for their ability to support course objectives, student learning outcomes, patient-care opportunities, and program requirements. Collaborate with nursing leadership and faculty to review student and faculty evaluations of clinical sites. Identify concerns related to clinical experiences and communicate them promptly to the appropriate nursing leadership. Document site visit findings and make recommendations regarding continued or future utilization of clinical facilities. Share appropriate feedback with clinical partners professionally and collaboratively to support continuous quality improvement. Communication & Relationship Management Maintain timely, professional, and respectful communication with clinical partners, students, faculty, and College leadership. Promptly communicate clinical placement concerns, scheduling challenges, compliance issues, or changes to the appropriate Dean of Nursing/Program Dean. Work collaboratively with nursing leadership and faculty to resolve clinical scheduling and placement concerns. Represent Cambridge College of Healthcare & Technology professionally during all interactions with healthcare partners and community stakeholders. Promote positive awareness of Cambridge nursing programs among clinical partners and healthcare professionals. Coordinate clinical partner recognition and appreciation initiatives as appropriate. Perform additional duties as assigned. Qualifications Required Current, active, and unencumbered Registered Nurse (RN) license in the State of Florida. Bachelor's degree from an accredited institution; Bachelor of Science in Nursing (BSN) preferred. Experience in healthcare, higher education, clinical coordination, healthcare administration, nursing education support, or a related field. Demonstrated ability to coordinate multiple schedules, deadlines, and organizational priorities. Strong written and verbal communication skills. Excellent organizational, documentation, and follow-through skills. Ability to establish and maintain professional relationships with healthcare organizations and clinical partners. Proficiency with Microsoft Office and the ability to learn clinical placement and compliance-management systems. Reliable transportation and the ability to travel regularly to clinical facilities throughout the South Florida region. Preferred Previous experience coordinating clinical placements for a nursing or allied health education program. Experience using various clinical placement/compliance platform. Familiarity with nursing education, clinical affiliation agreements, student compliance requirements, and healthcare facility onboarding. Knowledge of healthcare facilities and clinical placement opportunities throughout West Palm Beach and the surrounding South Florida region.
