Job Summary:
We are seeking an enthusiastic and detail-oriented Patient Care Specialist to join our growing team. In this role, you will be responsible for managing the front desk operations, ensuring a smooth patient experience, and providing exceptional customer service. The ideal candidate will have excellent communication and organizational skills, a strong work ethic, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
Greet and welcome patients upon arrival, ensuring a positive and professional first impression. Answer incoming phone calls promptly and professionally, addressing patient inquiries and scheduling appointments. Manage patient bookings, including appointment confirmations and reminders. Check-in new patients, verifying and updating registration and insurance information in the practice management system. Process insurance paperwork, coordinating with insurance providers to verify coverage and obtain necessary authorizations. Follow up on patient orders, providing updates and ensuring timely delivery of eyewear and contact lenses. Send appointment reminders and recall notices to patients, maintaining an organized and efficient recall system. Maintain a clean and organized office space, including the optical area and reception area. Assist with basic optical tasks, such as frame display arrangement and restock. Continuously improve customer service skills, staying informed about best practices and industry trends.
Requirements:
High school diploma or equivalent; additional certification in office management or a related field is a plus. Previous experience in a customer service role, preferably in an optometry or healthcare setting. Excellent communication and interpersonal skills, with a strong focus on providing exceptional customer service. Proficiency in using computer systems Google Docs. Experience with practice management software such as Crystal PM is a strong plus. Strong organizational and time management skills, with the ability to multitask and prioritize in a fast-paced environment. Punctuality and reliability, with a commitment to maintaining a professional and positive work environment. Knowledge of medical and vision insurance processes is preferred, but not required.
