Full Job Description Position Summary:
Illuminate Plastic Surgery is one of the Bay Area's premier plastic surgery, medspa and aesthetic wellness practices, with locations across Palo Alto, San Jose and Morgan Hill. Led by a team of board-certified surgeons and award-winning aesthetic providers — and recognized as one of the best in Silicon Valley — Illuminate offers world-class surgical and non-surgical care spanning plastic surgery, injectables, laser treatments, aesthetician services, and wellness programs.

As we continue to grow across multiple facilities, we are looking for a driven, detail-oriented Facilities Manager to help us maintain the exceptional standard our patients and team expect. The communications team agent is the first point of contact for patients. This role focuses on ensuring that patient interactions are handled with the utmost professionalism and efficiency.
Essential Duties and Responsibilities:

Scheduling & Patient Communication:
Schedule, cancel, reschedule new and returning patients Input accurate patient demographics Collect deposits and outstanding balances Maintain a friendly and professional phone demeanor Respond to patients via calls, texts, emails Assign tasks to the appropriate individual Documentation of patient interactions Attend bi-weekly Call Center Meetings. Bringing suggestions or concerns Responsible for checking/returning voicemails on all 8 work extensions Providing patients with correct pre/post care instructions for treatmen
Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Education and Experience High school graduate or equivalent 2+ years preferably in aesthetic or medical setting Technical Abilities Ability to use computer with Windows Operating System for daily tasks, including Email and Microsoft Teams Ability to use the following operational software: Electronic Medical Record (PatientNOW) TouchMD Webex Whale Must have a strong modem internet or WI-FI connection Communication and Problem Solving Possess a wide-ranging knowledge of aesthetic healthcare Good problem solving and analytical skills Excellent Communication skills Empathetic with patient needs and concerns Ability to multi-task Well organized with attention to detail Excellent time management skills Take initiative to resolve issues independent of direct supervision Patient Confidentiality Discretion in handling diverse and challenging situations while adhering to patient privacy regulations Aesthetic Knowledge A good understanding of all practice offerings. The ability to credential each surgeon to a patient. Availability Ability to reliably work 9:00 AM - 5:30 PM, Monday- Friday, with a 30-minute lunch This position is primarily remote with possibility of occasional onsite coverage.
Pay:
$22.00 - $28.00 per hour
