Job Description

Nutrishare has an exciting new opportunity at our growing Louisville KY Location. We are adding a Pharmacy Documentation Assistant to our team! This is a Full Time role Monday-Friday 8:30am-5:00pm We offer: 90 % coverage for medical for the employee 1000% coverage for Dental and Vision for the employee 401k + matching 2 weeks PTO 5 Days Sick time SUMMARY The Pharmacy Documentation Specialist is responsible for managing, organizing, maintaining, and assigning pharmacy and patient-related documentation within the Electronic Medical Record (EMR) system to support home infusion pharmacy operations. This position serves as a liaison between pharmacy, intake, revenue cycle management, nursing, and patient onboarding teams by ensuring patient records are accurately scanned, indexed, assigned, and readily accessible.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties and responsibilities include the following. Other duties may be assigned at any time via verbal or written instructions. Document Management Receive, review, process, scan, upload, index, and assign patient-related documentation to the appropriate patient record within the EMR. Ensure all patient documents are accurately categorized, named, indexed, and filed according to Nutrishare document naming conventions and retention requirements. Review documentation for legibility, completeness, and correct patient identification prior to upload. Separate documents containing multiple patients and assign records appropriately to individual patient charts. Maintain timely processing of documentation to support patient care, clinical decision-making, reimbursement, and regulatory compliance. Maintain document tracking logs and workflow reports as requested. Documentation Types Managed Prescription orders and physician orders. Referral documentation, onboarding information, clinical documentation, progress notes, laboratory results, and nursing visit documentation. Compounding records, medical records, audit documentation, and other pharmacy-related documentation. Proof of Delivery (POD) documentation and delivery-related records. Medicare Requests for Refill Other documents as assigned/requested Fax and Communication Managemen t Monitor and manage incoming pharmacy fax queues throughout the day Assign physician orders, referrals, laboratory results, insurance documents, and other correspondence to the appropriate departments. Identify urgent or time-sensitive documents and escalate appropriately. Maintain organized workflows to ensure timely processing of all incoming communications. Communicate with pharmacists, intake staff, reimbursement teams, nursing personnel, onboarding staff, physician offices, and other departments to obtain missing information or clarify documentation. Proof of Delivery Management Collect and track proof of delivery documentation from shipping carriers and courier business partners. Verify proof of delivery records are complete and support billing and audit requirements. Scan and assign completed proof of delivery documents to the appropriate patient records. Follow up on missing or incomplete proof of delivery documentation as necessary. Audit and Medical Record Support Assist pharmacy, reimbursement, and compliance teams with items necessary for payer audits and medical record requests Identify, organize, and compile documentation needed for audits, accreditation reviews, and medical record requests. Prepare complete and accurate records within required deadlines. Support chart reviews, internal audits, and external regulatory inspections. Compliance and Quality Assurance Maintain confidentiality and security of Protected Health Information (PHI). Ensure all documentation is maintained according to HIPAA requirements, company policy, payer requirements, accreditation standards, and applicable state and federal regulations. Support quality improvement initiatives through accurate documentation management practices. Participate in departmental meetings, training programs, audits, and compliance activities. Identify opportunities to improve documentation workflows and operational efficiency. General Administrative Support Assist pharmacy and administrative teams with documentation-related projects and special assignments. Maintain a professional and customer-focused approach in all interactions. Assist Pharmacy Manager and Director of Pharmacy with office ordering and clerical tasks as needed. Perform other duties as assigned.

QUALIFICATIONS

  • High School Diploma or GED.
  • Minimum one year of administrative, medical records, healthcare documentation, pharmacy support, or related experience.
  • Pharmacy Technician License may be required based on location Preferred
  • Experience working with Electronic Medical Record (EMR/EHR) systems.
  • Home infusion, specialty pharmacy, healthcare administration, medical billing, reimbursement, or pharmacy operations experience.
  • Additional training or education in healthcare administration, medical records management, pharmacy operations, or related fields. Knowledge, Skills, and Abilities
  • Strong attention to detail and organizational skills.
  • Ability to accurately manage high volumes of documentation.
  • Strong data-entry proficiency and computer skills.
  • Proficiency with Microsoft Office applications including Outlook, Word, Teams, and Excel.
  • Ability to prioritize multiple tasks while meeting deadlines.
  • Knowledge of HIPAA and patient confidentiality requirements.
  • Understanding of healthcare documentation workflows.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a multidisciplinary team.
  • Ability to identify pharmacy, clinical, reimbursement, and operational documents.
Language Skills Ability to read and interpret written instructions, procedure manuals, correspondence, and documentation workflows. Must be able to communicate professionally in written and verbal form with internal departments, external partners, and other stakeholders. Mathematical Skills Ability to add, subtract, multiply, and divide numbers. Ability to apply basic mathematical concepts when reviewing or organizing documentation, reports, or workflow logs. Reasoning Ability Ability to understand and carry out instructions furnished in written, oral, or diagram form. Ability to manage standardized situations involving several concrete variables and escalate concerns appropriately.

Pay:
$18.00 - $21.00 per hour
