Job Description

NOVA Eye Experts is seeking an experienced, friendly, detail-oriented Front Desk Associate for our Warrenton office. This role may occasionally support our Manassas location as needed. You'll be the first point of contact for our patients, handling check-in/check-out, scheduling, insurance verification, and more.
Schedule:
Monday-Friday, 8:00 AM-5:00 PM (no weekends)

Position:
This individual plays a vital role in welcoming patients to the practice and ensuring their professional and courteous treatment. The job entails checking in patients, reviewing patient charts for necessary information and signatures, and entering new patient information into the electronic practice management system.
Required Education and Experience:
  • A high school diploma or equivalent. Some college courses or bachelor's degree preferred.
  • Administration certification or certificate such as BSM Consulting's Certified Patient Service Specialist (CPSS), are preferred.
  • Passion for providing outstanding patient healthcare experience. Essential Skills and Abilities

  • Demonstrates empathy, attentiveness, and clear communication with patients, staff, and physicians.
  • Highly organized with strong time management, multitasking, and administrative abilities.
  • Accurate and efficient in documentation, scheduling, and record-keeping.
  • Proficient in or able to quickly learn electronic health records and practice management systems.
  • Maintains confidentiality and demonstrates sound judgment in all interactions.
  • Adapts to changing priorities and responds appropriately to urgent or emergency situations. Key Responsibilities
  • Warmly greet and assist patients in person and by phone, creating a professional and welcoming environment.
  • Answer and place patient calls, respond to inquiries, and document all communications in the EMR.
  • Schedule, confirm, and reschedule appointments accurately and promptly in the practice management system.
  • Verify insurance coverage and obtain or assist with required authorizations and referrals.
  • Collect co-pays, refraction fees, and outstanding balances during check-in or check-out while maintaining a friendly demeanor.
  • Review and verify patient charts, demographics, and signatures for completeness and accuracy.
  • Enter and update patient demographic and insurance information, scanning documents into the EMR.
  • Monitor patient flow in the reception area, track arrival times, and communicate wait times to staff and patients as needed.
  • Guide patients through registration or online portal access and assist with completing paperwork as necessary.
  • Notify the clinical team when a patient is ready for work-up and follow up to maintain smooth patient flow.
  • Verify and preauthorize benefits for in-office procedures and surgeries.
  • Invoice, collect and copy/download medical records that are requested from patients and/or insurance companies within 14 business days.
  • Maintain a clean, organized, and professional reception area.
  • Uphold all office policies, HIPAA regulations, and confidentiality standards.
  • Address patient concerns courteously, escalating issues to the Office Manager when appropriate.
  • Perform other related administrative or clerical duties as assigned. Physical Requirements
  • Ability to use phones, computers, and standard office equipment with manual dexterity and visual acuity.
  • Clear verbal communication and active listening for effective interaction with patients and staff.
  • Able to sit, stand, walk, and move throughout the office for extended periods.
  • Occasionally lift or carry up to 25 pounds (supplies, files, or equipment).
  • Maintains focus, professionalism, and composure under stress in a fast-paced environment.

Pay:
$18.00 - $23.00 per hour
