JOB SUMMARY
Under the direction of the Community Director, the Activities Assistant supports the efficient day-to-day operation of community activities and resident services. The position assists with activities coordination, event planning and execution, scheduling, communications, and resident and guest services to help ensure an organized, professional experience and a high level of resident satisfaction.
KNOWLEDGE, SKILLS AND ABILITIES
Working knowledge of organizational and community policies and procedures. General knowledge and understanding of business concepts. Ability to interpret and apply policies and procedures to resolve routine issues. Excellent written and verbal communication skills. Ability to communicate professionally and effectively with residents, prospective residents, vendors, contractors, rental clients, and co-workers. Demonstrated initiative in carrying out assigned responsibilities. Ability to respond courteously and effectively to common inquiries, concerns, and complaints. Ability to quickly develop and maintain strong internal working relationships. Demonstrated understanding of general property management practices. Knowledge of office management practices and procedures. Strong organizational and time-management skills. Ability to manage multiple projects, establish priorities, exercise sound judgment, and clearly communicate findings and recommendations. Proficiency with internet-based tools, spreadsheets, databases, and word-processing software. Ability to accurately process data and format and generate reports. Ability to create, compose, proofread, and edit written materials.
EDUCATION AND EXPERIENCE
An Associate's Degree in Business, General Studies, a related field, or an equivalent combination of education and experience is required. A minimum of two years of experience in residential properties, property management, retail sales, or related business operations is desired.
ESSENTIAL DUTIES
Support the daily operations of the Activities Office, including managing a multi-line phone system and assisting customers. Assist with researching, developing, scheduling, promoting, implementing, and facilitating activity programming and special events for residents and guests. Maintain schedules for weekly and monthly activities and special events for residents and guests. Assist with evaluating the effectiveness of activities and special events using research-gathering and feedback tools. Register guests and provide guest passes. Maintain accurate records of ticket and event sales and related financial transactions. Maintain records of upcoming room reservations and collect room rental fees, security deposits, and required forms. Provide facility rental information and respond to rental inquiries. Assist with communications related to resident services. Assist residents by phone and in person at the office. Respond to resident inquiries and concerns, including questions about the surrounding area, community, company, and amenities. Provide high-quality customer service to internal and external customers. Assist with maintaining community communications and informational media, including the newsletter, website, and community information meetings.
TYPICAL PHYSICAL DEMANDS
Requires occasional bending, stooping, and stretching. Requires occasional lifting of items weighing up to 30 lbs. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment. Requires sufficient hearing and vision to record, prepare, and communicate appropriate reports. Requires extensive data input and the ability to sit for extended periods of time. Requires the ability to stand for periods of time during special events.
TYPICAL WORKING CONDITIONS
Primarily a normal office environment, generally Monday through Friday from 8:00 a.m. to 4:00 p.m. Employees must be able to physically access all exterior and interior areas of the community and amenities. Schedule flexibility is required, including occasional evening and weekend work.
Pay:
$20.00 - $25.00 per hour Expected hours: 40.0 per week
