Job Description

Supervise, assign, review and participate in the work of staff responsible for the coordination of entertainment and logistics for a variety of assigned events including venue rentals; ensure work quality and adherence to established policies and procedures including customer service and professionalism. ESSENTIAL FUNCTIONS
Essential functions may include but are not limited to the functions listed below. Must be able to perform the essential functions of the job with or without a reasonable accommodation. Coordinate, schedule, and organize client rentals of event venue. Implement high levels of customer service to book and execute facility rentals to ensure a successful event. Coordinate with City vendors to maintain facility through repairs and cleaning. Plan, prioritize, assign, supervise, review and participate in the work of staff responsible for the coordination of event logistics for a variety of assigned events, including regular daily programs. Establish schedules and methods for providing artistic services; identify resource needs; review needs with appropriate management staff; allocate resources accordingly. Participate in the development of policies and procedures; monitor work activities to ensure compliance with established policies and procedures; make recommendations for changes and improvements to existing standards and procedures. Recommend and assist in the implementation of goals and objectives; implement approved policies and procedures. Plan and coordinate various events and daily programs; develop and review contracts with various contractors; ensure event compliance with established contract standards. Coordinate the maintenance and repair of assigned event facilities including the maintenance and repair of recreational equipment; oversee and approve purchases of new equipment and needed supplies. Perform the more complex and difficult tasks of the work group including seeking and obtaining private sector and media sponsorship for assigned events. Work closely with outside agencies and neighborhood associations in the preparation for assigned events; assist in negotiating and reviewing contracts to ensure compliance. Participate in the selection of events staff; provide or coordinate staff training; work with employees to correct deficiencies; implement discipline procedures. Plan, prioritize, assign, supervise, review and participate in the work of box office activities and regular daily programs as required. Act as Manager on Duty for selected events as required.
SUPPLEMENTAL FUNCTIONS
Participate in the preparation and administration of the assigned event budget; submit budget recommendations; monitor expenditures. Prepare analytical and statistical reports on operations and activities. Attend and participate in professional group meetings; stay abreast of new trends and innovations in the field of event planning. Perform related duties and responsibilities as required. Education and experience directly related to the minimum requirements below may be interchangeable on a year for year basis. Associate's degree in business, marketing, communications, psychology, sociology, theatre/fine art, public relations or education ; and Five (5) years of event or program planning experience; and To include one (1) year of supervisory or lead experience. Bilingual in English / Spanish preferred.
ADDITIONAL REQUIREMENTS
Possession of a valid New Mexico Driver's License or the ability to obtain within ninety (90) days from date of hire. Possession of a City Operator's Permit (COP) within 6 months from hire date.
Environmental:
Office and field environment; travel from site to site; occasional exposure to inclement weather conditions. Odd shift hours and working on weekend and holidays.
Physical:
Essential and supplemental functions may require maintaining physical condition necessary for walking, standing and sitting for prolonged periods of time. Lifting up to 50lbs.
