Job Description

Position Summary The Lifestyles Coordinator serves as the operational hub of the Independent Living Lifestyles Department, coordinating the administrative, logistical, and event planning functions that ensure exceptional resident experiences. This position allows the Director of IL Lifestyles to focus on strategic leadership, resident engagement, volunteer development, and program innovation by providing exceptional organization, operational coordination, and proactive support. While this position does not supervise employees, it provides functional coordination for department operations and assigned events. Mission Statement To ensure every IL Lifestyles program and event is thoughtfully planned, professionally organized, and seamlessly executed through exceptional coordination, operational excellence, and proactive support that enhances the resident experience. Essential Duties and Responsibilities Administrative & Department Operations Coordinate department calendars, Wellzesta updates, planning documents, timelines, event checklists, and operational records. Assist the Director with departmental budget tracking, invoice processing, purchase requests, expense documentation, and financial recordkeeping. Coordinate communications with vendors, entertainers, community partners, and service providers. Anticipate departmental needs by proactively coordinating supplies, resources, logistics, and scheduling requirements. Serve as a primary resource for resident questions regarding programs, events, and department services. Event Planning & Logistics Coordinate the planning and logistics for resident programs, concerts, special events, Celebration of Life gatherings, Resident Birthday Parties, and other assigned signature events. Serve as the primary operational contact for assigned events from initial planning through successful completion. Coordinate room layouts, decorations, food and beverage service, rentals, entertainment, vendor arrivals, setup, troubleshooting, and breakdown. Develop strong working relationships with vendors, entertainers, and community organizations to support exceptional resident programming. Assist with identifying opportunities to improve event quality, organization, and resident participation. Operational Coordination & Team Support Maintain inventories of event supplies, decorations, beverages, and departmental resources while coordinating purchasing and restocking activities. Provide day-to-day coordination for assigned events and may direct event-related activities of team members and volunteers. This position does not have formal supervisory authority. Assist with onboarding and training of new Lifestyles Assistants on department procedures, event standards, and operational processes. Serve as the operational point person when designated by the Director of IL Lifestyles. Complete department errands, purchasing, and event-related pickups using Woodland's vehicles as needed. Qualifications Two or more years of event planning, event coordination, hospitality operations, or project coordination experience strongly preferred. Associate degree preferred (but not required) in Hospitality Management, Event Management, Business Administration, Communications, or a related field. Equivalent education and relevant experience will be considered. Senior living experience preferred but not required. Demonstrated ability to manage multiple projects simultaneously while maintaining exceptional organization, attention to detail, and customer service. Strong communication, relationship-building, and problem-solving skills. Proficiency with Microsoft Office and the ability to learn other departmental software. Physical Requirements Requires frequent standing, walking, bending, lifting, carrying, and event setup/breakdown. Must be able to lift up to 25 pounds, work occasional evenings and weekends, and operate a Woodland's vehicle for department-related errands and event support. Success Measures Department operations are organized, accurate, and completed on schedule. Programs and events are consistently well planned, coordinated, and executed. Supplies, inventories, purchasing, and operational resources are proactively managed. Residents, vendors, entertainers, and community partners receive professional, responsive service. The Director of IL Lifestyles is able to devote increased time to strategic programming, resident engagement, volunteer development, and department leadership because of effective operational support.
