We are seeking a highly organized, compassionate, and detail-oriented Admissions Coordinator to oversee and coordinate the admissions process at our facility. The Admissions Coordinator serves as the primary point of contact for incoming referrals, prospective clients, referral partners, and inquiries. This position plays a key role in ensuring a smooth and timely transition from initial inquiry and referral through the admissions and intake process. Key Responsibilities Answer and manage incoming admissions calls and inquiries. Serve as the primary point of contact for incoming referrals and prospective clients. Enter and maintain accurate client and referral information in EMR. Complete and enter pre-assessments into EMR, including demographics, background checks, PMP checks, and insurance information. Submit insurance information to the billing department for verification of benefits (VOB). Communicate with clinical and medical staff to coordinate intake dates and times. Assist clients with payment plan arrangements when deductibles or out-of-pocket expenses apply. Track and manage Facebook and website leads. Track incoming calls and organize referrals by referral source. Maintain accurate records of approved clients, referrals, denied admissions, and calls made to other facilities. Maintain and manage the admissions waitlist. Prepare daily admissions shift reports. Prepare monthly admissions reports, including census percentage, intakes admitted, approved clients, referrals, denied admissions, and calls made to other facilities. Coordinate appropriate transitions to intake and ensure clients are directed to the proper level of care. Communicate with the Medical Director regarding potential high-risk admissions Direct client-related calls and inquiries to the appropriate department or staff member. Maintain consistent communication with treatment partners on a weekly basis. Conduct monthly alumni follow-up. Invite alumni to participate in center events, fundraisers, and programming. Develop and maintain admissions policies and procedures as needed. Ensure all admissions activities are conducted in accordance with ethical, professional, and organizational standards. Maintain confidentiality of client and organizational information at all times. Perform other duties as assigned by management. Minimum Qualifications Excellent verbal and written communication skills. Strong organizational and time-management skills. Proficiency with computers and electronic record systems. Customer service experience. Data-entry experience with strong attention to accuracy and detail. Ability to work effectively in a fast-paced environment. Strong multitasking and prioritization skills. Knowledge of crisis prevention and de-escalation techniques.
