Office Coordinator / Patient Care Coordinator (OC/PCC)

Full time 40 hours/week Job Summary The Office Coordinator/Patient Care Coordinator's (OC/PCC) primary responsibilities are to manage daily office operations, handle internal and external communications, and provide customer service support to Uplift Therapy Center's clients, employees and third parties. This role owns helping to schedule across all service settings, front-desk and phone operations, client intake and care coordination, and required administrative reporting. The OC/PCC is central to the client experience and to keeping clinician schedules full and accurate. Essential Job Responsibilities Working under the supervision of the Associate Director, essential job responsibilities include, but are not limited to:
General:
  • Provide a positive and welcoming environment by greeting all individuals entering the clinic
  • Inform families of promotions and programs occurring at the center
  • Build relationships with families
  • Maintain a clean work environment
  • Maintain clinic space and order office and therapy materials, including grocery orders for feeding therapy, as needed
  • Provide customer service at all times to orient and assist with new and existing clients
  • Help support a positive and supportive work environment Client Communication & Front Desk
  • Answer inbound calls and emails from employees, clients, and third parties and direct as needed
  • Serve as first point of contact at the front desk, greeting all individuals entering the clinic.
  • Serve as first point of contact for client complaints.
  • Provide invoices to families and follow up on unpaid balances. Scheduling
  • Schedule and reschedule all clients, as needed
  • Maintain clinician schedules by checking clients in on Simple Practice and marking attendance or cancellations
  • Initiate all scheduling matters (new evaluations, ongoing scheduling, reschedules, waitlist placement).
  • Coordinate clinician coverage and communicate with affected families when a clinician is out.
  • Maintain proper documentation on all important correspondences Intake & Onboarding (Clients)
  • Send and follow up on intake paperwork through Simple Practice to ensure timely completion.
  • Onboard clients in Simple Practice and maintain accurate, up-to-date client records.
  • Track authorization requests and renewals to ensure timely processing for Kaiser. Billing & Payments
  • Provide invoices and follow up on unpaid balances.
  • Ensure private-pay deposits are collected at time of booking. Meetings & Compliance
  • Attend and participate in all required team meetings.
  • Adhere to all safety, ethical, and HIPAA standards at all times. Support
  • Support other administrative roles as needed

  • Ability to work independently with only general supervision
  • Attention to detail and excellent organizational skills
  • Strong interpersonal skills to interact positively with all employees
  • Flexibility to be able to adjust to company needs
  • 2-3 years of experience as an administrative assistant or similar role
  • Experience using Microsoft and Google Suite, EMR systems
  • Successful completion of a background check
  • Strong written and verbal communication skills to assign tasks, accept instructions and handle vendor contracts, among other tasks
  • Ability to work with HIPAA and confidential information and to ensure discretion Physical Requirements
  • Ability to exert up to 10 pounds of force and lift/move up to 25 pounds
  • This role may include, without limitation, the following physical demands: kneeling, turning, sitting for prolonged periods of time, frequent typing and looking at a computer screen.
