Job Description

Patient & Insurance Coordinator Position Summary The Patient & Insurance Coordinator plays a key role in creating the calm, welcoming, and well-organized experience that defines our practice while also helping ensure our insurance processes run smoothly behind the scenes. This position combines exceptional patient service with insurance coordination, helping patients navigate appointments, benefits, and financial questions while partnering with our insurance support team to resolve claim issues efficiently. From the moment a patient contacts our office through the completion of treatment, this role helps create an outstanding patient experience built on clear communication, organization, and compassion. Behind the scenes, the Patient & Insurance Coordinator works closely with our third-party insurance partner (eAssist) to ensure insurance payments are processed accurately, claims are resolved promptly, and appeals or corrections are submitted when needed. Success in this role requires excellent communication skills, strong attention to detail, the ability to manage multiple priorities, and a genuine desire to help both patients and teammates. Key Responsibilities Patient Experience Greet and check patients in and out of the office in a friendly and professional manner Collect and update patient information and required documentation Answer patient questions in person, by phone, and via email with care, clarity, and professionalism Help patients understand treatment recommendations, scheduling needs, and financial responsibilities Consistently look for opportunities to improve the patient experience and office culture Scheduling & Coordination Schedule hygiene and restorative appointments efficiently while maintaining provider productivity Manage appointment confirmations and patient communications Facilitate specialist referrals and coordinate with outside offices as needed Insurance & Financial Coordination Verify patient insurance coverage and benefits prior to appointments Assist patients in understanding their benefits and estimated out-of-pocket costs Collect payments and maintain accurate financial records in the practice management system Transmit insurance payments and supporting documentation to eAssist for posting and coordinate with eAssist to revolve any claims issues. Submit claim corrections, additional documentation, and insurance appeals as needed. Help identify opportunities to improve insurance workflows and claim turnaround times. Benefits include PTO, quarterly bonus program, in-house dental benefits for employees and dependents & 401k matching. While all employees are eligible to participate in the company health insurance, employees working an average of 30+ hours per week are eligible for the company contribution towards their health insurance premiums.
