Ventura Law is seeking a personable, highly organized, and compassionate Bilingual Client Intake Coordinator to serve as one of the first points of contact for prospective clients seeking legal assistance. This position plays an important role in creating a positive first impression of the Firm and ensuring that every prospective client is treated with professionalism, patience, and compassion. The Bilingual Client Intake Coordinator will communicate with prospective clients, gather and document relevant information, assist with the intake process, maintain consistent follow-up, and help ensure potential clients are connected with the appropriate members of the Firm. The ideal candidate is an excellent communicator who is comfortable speaking with people from a wide variety of backgrounds, including individuals who may be experiencing stressful or difficult circumstances. This individual should be able to balance compassion with efficiency, ask thoughtful questions, maintain confidentiality, and manage multiple inquiries and priorities throughout the day. Key Responsibilities Serve as an initial point of contact for prospective clients by phone, email, web inquiry, and other Firm communication channels. Communicate fluently and professionally with prospective clients. Conduct initial intake conversations to gather accurate and complete information regarding prospective clients and their potential legal matters. Create and maintain accurate client and lead information within the Firm's case management and intake systems. Ask appropriate follow-up questions to obtain information necessary for the Firm to evaluate potential matters. Provide prospective clients with a welcoming, professional, and compassionate experience throughout the intake process. Maintain timely and consistent follow-up with prospective clients and leads. Track outstanding intake items and follow up to obtain necessary information or documentation. Maintain accurate notes and documentation regarding all prospective client communications and activity. Communicate internally regarding new leads, potential matters, urgent inquiries, and other intake-related issues. Identify time-sensitive or urgent matters and promptly escalate them to the appropriate team member. Maintain strict confidentiality regarding prospective client, client, and Firm information. Follow Firm procedures regarding conflicts, intake, case acceptance, and client communications. Assist with intake reporting, lead tracking, and other administrative responsibilities as needed. Work collaboratively with attorneys, legal staff, and other members of the team to support a smooth and efficient client intake process. Perform additional duties and responsibilities as assigned. Qualifications Fluency in English and Spanish/Portuguese required , including the ability to communicate professionally and effectively both verbally and in writing. Prior experience in client intake, customer service, a call center, legal services, healthcare, insurance, hospitality, or another client-facing environment preferred. Prior law firm or legal intake experience is preferred but not required. Excellent verbal and written communication skills. Strong interpersonal skills and the ability to build rapport quickly with prospective clients. Compassionate and professional when communicating with individuals who may be experiencing difficult, emotional, or stressful circumstances. Strong attention to detail and commitment to accurate data entry and documentation. Ability to manage multiple inquiries, follow-ups, and priorities in a fast-paced environment. Strong organizational and time-management skills. Comfortable using computers, case management systems, Microsoft Office, email, and other business technology. Ability to exercise sound judgment and recognize when a matter should be escalated. Dependable, responsive, and able to work effectively both independently and as part of a team. Commitment to maintaining confidentiality and handling sensitive information appropriately.
